Position Overview

The Equine Mortality Division is seeking an Insurance Operations Associate to join our team in Ocala, Florida. This role serves as a critical part of our operations team and is responsible for supporting the processing and administration of equine insurance business. The Insurance Operations Associate reviews incoming submissions, organizes policy documentation, validates information, and helps facilitate the accurate processing of new business and renewals.

Essential Job Functions and Responsibilities

  • Monitor and manage a shared inbox, reviewing and triaging incoming correspondence from agents, customers, and internal business partners.

  • Process new business and renewal submissions through automated workflows and manual processing methods as needed.

  • Prepare, organize, and upload policy documentation and supporting materials into designated systems and electronic filing platforms.

  • Review submission information to verify completeness, accuracy, and adherence to established procedures.

  • Research and gather supporting documentation to validate horse values and underwriting information.

  • Utilize policy administration and document management systems, including DocX and other operational tools, to process and maintain records.

  • Identify and resolve data discrepancies and assist with maintaining accurate policy information.

  • Communicate professionally with internal and external stakeholders regarding submission status, documentation needs, and policy servicing requests.

  • Support continuous improvement initiatives by identifying opportunities to enhance operational efficiency and effectiveness.

  • Adapt to new technologies, automation tools, and evolving business processes as operational workflows continue to transform.

  • Perform other duties as assigned.

Qualifications

  • High School Diploma or equivalent required; Associate degree preferred.

  • Previous office, administrative, insurance, or operations experience preferred, with proficiency in Microsoft Office applications, particularly Outlook and Excel.

  • Strong knowledge of the equine industry, including horse breeds, disciplines, and valuation considerations.

  • Ability to manage multiple priorities in a fast-paced environment while maintaining a high degree of organization, accuracy, and attention to detail.

  • Strong analytical, problem-solving, and communication skills with the ability to review, interpret, and process information from multiple sources.

  • Adaptable and eager to learn, with the ability to thrive in an evolving environment driven by automation, AI-enabled workflows, and changing business needs.

  • Self-motivated team player with a passion for the equine industry and a willingness to embrace new responsibilities as the role grows and evolves.
