JOB DESCRIPTION
Director of Operations

Position Summary

The Director of Operations owns day-to-day performance across Purchasing, Warehouse, Inventory, Office Administration, Field Service, and E-Commerce, and is the primary accountability owner for operational KPIs company-wide. This is a working leadership role, not a strategy-only seat: the person will still need to walk the warehouse floor and sit in on vendor calls, not just review dashboards.

This role also carries a defined mandate: lead the implementation of the company's new ERP system, and own operational readiness for future showroom openings (2027).

Direct Reports
  • Purchasing Manager
  • Warehouse Manager
  • Inventory Manager
  • Office Manager
  • Field Service Manager
  • E-Commerce Director

Showroom Managers, Sales Manager, and Marketing sit alongside this role, not under it, and coordinate with this position on order flow and fulfillment — not through it.

Core Responsibility Areas

1. Operational Performance & Accountability
  • Owns and enforces a KPI structure for Purchasing, Warehouse, and Inventory — set targets, track actuals, and drive continuous improvement across all three functions.
  • Runs a consistent weekly or bi-weekly operations meeting with direct reports; sets agenda, tracks open issues to close.
  • Has authority to issue corrective action to direct reports and is evaluated on whether performance targets are met.
  • Is the single point of escalation for cross-department coordination (Purchasing, Warehouse, Inventory) — decisions stop with this role, not the CEO, except where policy-level or budget approval is required.

2. Purchase-to-Ship & Inventory Health
  • Sets and enforces need-date policy for purchase orders, and owns the decision on who has authority to reject or hold a PO tied to a stale or unconfirmed need date.
  • Reviews aged inventory, open PO, and purchase-to-ship ratio reporting on a standing cadence to keep inventory levels aligned with demand.
  • Assigns and enforces ownership for closing out purchase orders when a related sales order is cancelled or changed, to keep purchasing and sales order data in sync.

3. ERP Implementation
  • Serves as the operational lead on the new ERP implementation — represents Purchasing, Warehouse, and Inventory in configuration decisions and testing.
  • Owns data migration accuracy and user adoption in Purchasing and Warehouse post go-live.
  • Accountable for a smooth, on-schedule go-live.

4. New Location Readiness
  • Owns operational build-out for future showroom locations (2027) — staffing, inventory allocation, receiving/logistics setup.
  • Coordinates with Purchasing and Warehouse to ensure inventory positioning supports new-location launch without disrupting existing showrooms.

5. Office Administration
  • Oversees the Office Manager on order entry accuracy, customer service admin, and general office operations.
  • Ensures order entry and admin processes stay aligned with warehouse and purchasing workflows.

6. Field Service
  • Oversees the Field Service Manager on dispatch, scheduling, and parts/inventory needs for field service work.
  • Coordinates field service parts and inventory needs with Purchasing and Warehouse.

7. E-Commerce
  • Oversees the E-Commerce Director on website performance, product catalog accuracy, and online order fulfillment.
  • Ensures the e-commerce catalog and product data stay aligned with the ERP and inventory systems.

8. Reporting & Communication
  • Delivers a monthly operations report to ownership: KPI performance, open risks, and status on ERP and location initiatives.
  • Surfaces risks early, before they become cash-flow or customer-facing issues.

Required Experience & Qualifications
  • 7+ years in operations leadership in distribution, wholesale, or a comparable inventory-heavy business — not retail-only or pure logistics-only background.
  • Direct experience managing purchasing and/or warehouse teams, with P&L or KPI accountability for inventory performance.
  • Experience with a mid-market ERP system — ideally has been through at least one ERP implementation, not just steady-state use.
  • Demonstrated ability to build and enforce a meeting cadence and accountability structure where none existed before.
  • Bachelor's degree in business, supply chain, or related field preferred; equivalent experience accepted.
