Position Summary:
The O'Toole Family Endowed Assistant Director of Scholarship Coordination plays a central role in advancing Villanova University's commitment to identifying, supporting, and engaging exceptional scholars through signature scholarship programs. Reporting to the Assistant Dean of Enrollment, this position serves as a connective bridge between the Offices of Enrollment, University Admission, and Financial Assistance. The Assistant Director also has a strong working relationship with Villanova's Center for Access, Success, and Achievement (CASA) to ensure that scholarship recipients have access to the myriad support services available at Villanova, and will receive and direct programmatic insights from CASA and other partners to the appropriate next steps. Finally, the position works closely with donors, families, and external partners to ensure a personalized and mission-aligned experience for each scholar across multiple programs.
The Assistant Director leads the coordination and engagement efforts for several major scholarship programs, including the O'Toole Scholars and Posse programs, while also supporting the onboarding and ongoing success of Evans Scholars and Cooperman Scholars along with other smaller endowed scholarship programs.

Duties and Responsibilities:
O'Toole Scholars Program Manage the annual O'Toole Scholars selection and engagement process. Plan and execute annual recruitment travel to the Archdiocese of Newark, building strong partnerships with high schools and community leaders. Partner with the Office of University Admission to shape the finalist pool. Coordinate finalist travel to Villanova and manage the on-campus interview day experience for students and guardians. Enhance scholar engagement during the senior year of high school and throughout their transition to Villanova. Maintain and expand a consistent meeting cadence and engagement strategy with O'Toole Scholars once matriculated. Work closely with CASA partners to ensure an enhanced student experience
Posse Scholarship Program Manage planning and logistics for 6-7 annual campus visits and off-campus selection events in partnership with the Posse Foundation. Coordinate finalist preparation, mentor selection, UNITAS weekend travel, and retreat logistics. Serve as the primary university liaison to donor families and other Posse supporters and stakeholders, enhancing scholar engagement and stewardship. Support programming, retention, and celebration of Posse Scholars across their Villanova experience.
Evans Scholarship Program Oversee administrative and programmatic responsibilities related to Villanova's onboarding as a new Evans Scholar institution. Support the student scholars' experience, from onboarding through graduation, in collaboration with Financial Assistance and Student Life partners.
Other Endowed and Named Scholarships Manage administrative processes for additional endowed scholarships such as the Maguire Scholars, Howley Scholars, and Cooperman Scholars. Oversee annual data collection and reporting to select partnerships, including the Cristo Rey Network, IDEA Prep, and Chicago Scholars. Manage the admissions and administrative tasks of several Philadelphia-based partnerships Coordinate the Augustinian High School Scholarship process and any related events Support donor engagement, reporting, and student stewardship as needed.
Collaborate on emerging scholarship initiatives and special projects related to Enrollment Management priorities. Contribute to broader office initiatives in support of student access, retention, and success. Perform other duties and assist with projects as assigned.
Minimum Qualifications:
Formal Education
  • Bachelor's degree

Work Experience
  • Minimum three years of relevant experience in higher education, scholarship administration, student success, or related fields.

Work Skills (e.g., written and verbal communication skills)
  • Strong project management and event coordination skills.
  • Demonstrated ability to build relationships with diverse constituencies including students,families, donors, and institutional partners.
  • Excellent written, verbal, and interpersonal communication skills.
  • Meticulous attention to detail across multiple agreements and channels.
  • Exceptional organizational skills, cultural competency, and a collaborative spirit to sustain high-impact relationships across internal and external stakeholders.
