- Manage and oversee fuel programs for both Road and Contract Logistics operations.
- Serve as the primary point of contact for all fuel-related questions, issues, escalations, and operational support requests.
- Administer fuel card programs, including issuance, replacement, activation, deactivation, and monitoring of card usage and compliance.
- Maintain and manage relationships with major fuel vendors and providers, including but not limited to EFS, Comdata, and other industry-related fuel platforms.
- Negotiate fuel pricing, discounts, rebates, and vendor agreements to support cost savings and operational efficiency.
- Analyze fuel spend, usage trends, and operational data to identify opportunities for optimization and cost reduction.
- Prepare and maintain fuel-related reporting and analytics by truck, driver, region, vendor, and other operational metrics as needed.
- Support IFTA reporting processes by ensuring accurate fuel transaction data and assisting with reporting requirements.
- Monitor fuel transactions for discrepancies, unauthorized activity, and compliance concerns and work with internal stakeholders and vendors to resolve issues timely.
- Collaborate with Operations, Finance, Procurement, Fleet, Safety, and Accounting teams to support fuel-related initiatives and reporting needs.
- Ensure fuel platform data integrity and maintain accurate records within fuel management systems.
- Assist with implementation, testing, upgrades, and optimization of fuel platforms and related technologies.
- Develop and maintain standard operating procedures and documentation related to fuel program administration.
- Stay informed on industry trends, market conditions, fuel pricing fluctuations, and vendor offerings to support strategic decision-making.
- Provide secondary support for equipment control and fleet management activities, including equipment tracking, reporting, and vendor coordination.
- Assist with maintaining fleet and equipment-related records, operational documentation, and reporting as needed.
- Support initiatives focused on improving operational efficiencies, equipment utilization, compliance, and cost savings across fleet operations.
- Perform other duties and special projects as assigned.
Education & Experience
- Bachelor's degree in Supply Chain, Business Administration, Logistics, Finance, or a related field preferred; equivalent work experience may be considered in lieu of degree.
- Minimum of 3-5 years of experience managing fuel programs, fuel procurement, or fuel platform administration within the transportation, logistics, or trucking industry required.
- Prior experience working with major fuel vendors and platforms such as EFS, Comdata, or similar fuel management systems required.
- Experience with fuel card administration, fuel reporting, and vendor negotiations required.
- Knowledge of IFTA reporting requirements and fuel tax processes preferred.
- Experience analyzing large data sets and generating operational and financial reports preferred.
- Proficiency in Microsoft Excel and reporting tools required.
