JOB SUMMARY
The Cemetery Coordinator provides administrative and operational support to the Cemetery Superintendent. This position coordinates daily work assignments for cemetery field staff, schedules interments, maintains accurate burial and financial records for all three City cemeteries, and assists families, funeral directors, contractors, City departments, and members of the public. The incumbent must perform all responsibilities with accuracy, professionalism, discretion, and compassion.
PRINCIPAL DUTIES AND RESPONSIBILITIES
• Coordinates and communicates daily work assignments for grave diggers and other cemetery staff under the direction of the Cemetery Superintendent.
• Receives interment orders and schedules grave openings, closings, and related cemetery services.
• Prepares burial orders and maintains complete and accurate interment, lot, and burial records.
• Verifies burial locations and service details to support dignified and accurate interments in accordance with applicable laws, regulations, and City procedures.
• Promptly informs the Cemetery Superintendent of operational concerns, scheduling conflicts, citizen complaints, or other issues requiring attention.
• Assists families with cemetery lot purchases, burial arrangements, records, and general questions.
• Responds to telephone, electronic, and in-person inquiries from families, funeral directors, contractors, City departments, and members of the public.
• Maintains professional working relationships and regular communication with funeral homes and other funeral industry representatives.
• Reviews cemetery maps, lot cards, location records, and electronic records to verify burial and property information.
• Maintains the accounts receivable log in INCode.
• Receives and processes payments, issues receipts, reconciles transactions, and prepares bank deposits in accordance with City financial procedures.
• Collects and submits the information required to establish new vendors in INCode.
• Prepares correspondence, reports, spreadsheets, forms, and other departmental documents.
• Maintains the departmental event and service calendar to ensure staffing, equipment, and operational needs are coordinated.
• Orders and maintains office supplies and equipment.
• Addresses citizen questions and concerns within the position's authority and refers unresolved matters to the appropriate employee or department.
• Maintains the confidentiality and security of sensitive personal, financial, and cemetery records.

EDUCATION AND EXPERIENCE
• High school diploma or GED required.
• At least one year of office, administrative, customer service, or clerical experience required.
• Experience with records management, accounts receivable, payment processing, or cemetery operations is preferred.
• An equivalent combination of education, training, and experience that provides the required knowledge and abilities may be considered.
• Valid driver's license required.
KNOWLEDGE, SKILLS, AND ABILITIES
• Ability to interact calmly, compassionately, and respectfully with grieving individuals and families.
• Ability to maintain a high level of accuracy and attention to detail.
• Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
• Ability to learn and effectively use INCode and other departmental software.
• Knowledge of standard office, filing, payment-processing, and records-management procedures.
• Ability to read and interpret cemetery maps, lot cards, location maps, burial records, and electronic records.
• Ability to coordinate multiple interments, service requests, and operational priorities while meeting established deadlines.
• Ability to communicate clearly and professionally, both orally and in writing.
• Strong organizational, time-management, and recordkeeping skills.
• Ability to provide accurate information and directions to families, funeral directors, contractors, employees, and members of the public.
• Ability to exercise discretion, sound judgment, and appropriate confidentiality.
• Ability to establish and maintain effective working relationships with employees, funeral industry professionals, contractors, and the public.
• General knowledge of cemetery operations, grounds maintenance practices, and equipment is preferred.
PHYSICAL, MENTAL, AND VISUAL SKILLS
• Ability to read, write, interpret records, prepare documents, and communicate verbal and written instructions.
• Ability to remain attentive and accurate while reviewing detailed burial, financial, and location records.
• Ability to manage competing priorities and respond appropriately to sensitive or emotionally difficult situations.
• Ability to read maps, records, computer screens, and printed materials.
• Ability hearing and speaking ability to communicate effectively in person and by telephone.
• Ability to lift and carry office supplies, files, and related materials weighing up to 25 pounds.
WORKING CONDITIONS
Work is performed in a 40 hours per week standard office environment with occasional brief outdoor tasks - may be inclement weather or extreme temperatures. Work hours: Monday through Friday - 7:00 a.m. - 3:30 p.m.
POST OFFER TESTING REQUIRED
• The City of Elkhart is a Drug Free Workplace. Therefore successfully passing a post offer drug screen is required (random drug testing may be conducted after employment).
• Background checks producing acceptable BMV and criminal history reports required.
