PROFILE

As with all employees at Mentoring Alliance (MA), the Event Specialist (ES) is considered to be a minister of

the gospel. The ES is a Christ-follower who sets an example for believers and nonbelievers and leads a life

MISSION STATEMENT

The mission of the Event Specialist is to support the successful planning, coordination, and execution of multi-

regional events while serving as a liaison between the Events Department and regional teams.


KEY RESULT AREAS

1. Administrative Support:

Provides administrative support and project coordination for the Events Manager while serving as a primary point of contact for the department with professionalism, organization, and a servant-hearted approach.

2. Event Process & Process Improvement:

Enhances operational efficiency within the events department by improving documentation processes, managing project files and event records, tracking expenses and vendor payments, maintaining standardized templates and procedures, and proactively creating systems that ensure organization, consistency, and seamless execution across events and regions.

3. Event Deliverables and Activities:

Leads event project coordination by managing timelines, deliverables, registration, communications, reporting, and project management systems while ensuring meeting readiness, preparing key event materials, coordinating vendor documentation, and proactively driving projects forward to ensure successful execution.

4. Multi-Regional Event Support:

Provides high-level operational and event support by coordinating multi-region event execution, serving as a subject matter expert in event management systems, supporting onsite logistics and stakeholder experience, managing vendor and volunteer coordination, and partnering with regional teams and central support to successfully execute organization-wide events and strategic initiatives.

5. Other Duties as assigned by the Manager of Events or Vice President:

  • Any other duties to serve the ministry as assigned by the Vice President or supervisor.
  • Serve on appropriate committees; attend staff meetings and other staff functions.
  • Strengthen teamwork, collaboration, alignment, morale, transparency, credibility, and trust throughout the ministry.
  • Fulfill necessary tasks, projects, or roles as assigned.

QUALIFICATIONS

  • High school diploma or GED required; associate or bachelor's in related field highly preferred
  • 2+ years of proven success in related administrative support roles
  • 2+ years of proven ability to manage multiple special events and event projects effectively
  • Proven ability to manage details accurately in a fast-paced environment under tight deadlines.
  • Proven ability to act as a proactive and resourceful problem solver and troubleshooter
  • Excellent written and verbal communication skills, including active listening
  • Experience utilizing project management systems, databases, and tracking software to manage event workflows and deliverables. Experience with Canva, Adobe, and/or Photoshop, Microsoft Office, and Google Suite required
  • Some knowledge of expense tracking and managing is required
  • Knowledge of running event production for events preferred
  • Willingness to travel for events and event prep: approximately 10-15% travel each year as needed
  • Valid driver's license and insurance required.
