SUMMARY OVERVIEW 

The Fuel Administrator is responsible for managing the administrative aspects of the airport's fuel operations. This role involves coordinating fuel orders, tracking fuel deliveries, and ensuring accurate invoicing and billing for fuel services. You will maintain detailed records of fuel transactions, inventory levels, and customer accounts, and assists in preparing reports and analyses related to fuel usage and costs. Additionally, you will work with suppliers, airline customers, and internal departments, providing essential support to ensure smooth and efficient fuel operations.

RESPONSIBILITIES

  • Oversee the administration of fueling operations at the airport 
  • Coordinate with fuel suppliers and airline companies for fuel delivery and distribution 
  • Manage fuel inventory levels and place orders to ensure consistent supply 
  • Monitor and record fuel dispensing to aircraft and ground vehicles 
  • Ensure compliance with safety regulations and environmental standards in fuel handling 
  • Develop and implement efficient fuel management procedures and policies 
  • Liaise with maintenance teams to ensure fueling equipment is in optimal condition 
  • Prepare and maintain accurate fuel usage and transaction reports 
  • Conduct audits and inspections of fuel storage and distribution facilities 
  • Assist in the negotiation and management of fuel supply contracts 
  • Collaborate with finance department for fuel billing and cost analysis 
  • Provide training to staff on safe fuel handling and emergency procedures 
  • Stay informed about industry trends and advancements in aviation fuel technology 
  • Respond to and resolve fuel-related inquiries and issues from airlines and ground services 
  • Participate in environmental sustainability initiatives related to fuel usage
  • Exemplify PrimeFlight customer service and safety standards
  • Perform any additional duties as assigned by management 

QUALIFICATIONS

  • 18 years of age or older
  • Eligible to work in the United States
  • Communicate effectively in English (reading, writing, speaking)
  • Experience in administrative roles, preferably within the aviation or fuel supply industry 
  • Strong organizational and data management skills, with a focus on accuracy and detail 
  • Knowledge of fuel supply and distribution processes is advantageous 
  • Ability to access and interpret information in print and electronically, including the use of electronic devices including IPads/Tablets, Computers, and Mobile Devices
  • Effectively communicate with colleagues and clients, both in-person and through electronic means
  • Pass a background check and drug screen 
  • Eligibility to acquire needed credentials and clearances (FAA, TSA, Port Authority, U.S. Customs and U.S. Postal- as applicable)
  • Airlines are 24/7, so we need our team members to be flexible to work various shifts including nights, weekends and holidays
