Purpose of Job :

The Office Associate effectively operates the front desk position for the distributorship, including phones, paperwork, and general accounting. This role performs all administrative duties supporting distributor operations.

Job Components:

  • Accuratelymaintainaccounts payable and accounts receivable including auditing,payingand filing vendor invoices according tocompanypolicy and procedure,collections,preparing customer invoices, purchaseordersand delivery tickets accurately andtimely.

  • Perform monthly,quarterlyand year-end closeefficiently, accurately andon schedule.

  • Verify depositsareaccurateand made ona timelybasis.

  • Upload and downloadhandheld computerdevices and processdataaccording to a set schedule.

  • Provide exceptional customer service both in person and over the phone

  • Supports front counterretailas needed

  • Maintain dealerdatabase.

  • Assistwithinventorycount and researchvariances.

  • All other duties as assigned

Qualifications :

  • High school graduate (or equivalent).Somecollegepreferred.

  • At least one year of administrative support experience in a warehouse orretailenvironment

  • At least one year of bookkeeping or accounting experience, including AP,ARand Collections.

  • Proficient in Microsoft Office products, including Outlook and Excel.

  • Multi-line phone experiencerequired.

  • Demonstrated use of professional etiquetterequired.

  • Excellent verbal communication skills arerequired.

  • Previousexperience in a customer-facing role isrequired.

  • Ability to multi-task, quickly transitioning from one function/task to the next.

  • Demonstrates good organizational skills and can prioritize tasks

  • Works with a high degree of accuracy and attention to detail

  • Approaches tasks with a sense of urgency

  • Must work effectively in a team environment

  • Strong data entry skills

Scope Data:

  • Works under general supervision. Work receives regular review by Manager.

  • Operate with integrity and demonstrate a positive attitude.

Work Environment :

  • Office environment but is also exposed to battery warehouse conditions such as moving equipment, mechanical parts,fumesor airborne particles and toxic or caustic chemicals.

  • Specific vision abilities include close vision, depthperceptionand ability to adjust focus.

  • Regularly required to stand, walk, hear, talk, and use hands to grasp and handle objects.

  • Occasionallifting up to25lbs.Withoutassistance

  • Ability to sustain extended periods of sitting, occasional standing and walkingthroughout the day

  • Prolonged use of personalcomputerandtelephone

  • Use of Personal Protective Equipment (PPE) may be required
