Bilingual Medical Office Manager / Senior Front Desk Manager
Locations: Hempstead and Lindenhurst, New York
Employment Type: Full-Time
Pay: $32.00–$36.00 per hour, based on directly related experience

Our office is seeking a highly experienced, hands-on Bilingual Medical Office Manager / Senior Front Desk Manager to help oversee and support our medical offices in Hempstead and Lindenhurst.

This is not a desk-only management position. The successful candidate must be fully trained in medical front-desk operations and willing to assist the front-desk staff and medical assistants whenever needed. The manager will help keep both offices organized, properly staffed and operating efficiently.

Primary Responsibilities:
  • Supervise, train and support front-desk employees and medical assistants.
  • Step in at the front desk when needed, including answering phones, scheduling appointments, checking patients in and out, collecting payments and assisting patients.
  • Help prepare employee schedules and arrange coverage for absences, vacations and busy office periods.
  • Travel between our Hempstead and Lindenhurst offices when operational coverage is needed.
  • Verify insurance eligibility, benefits, referrals and authorization requirements.
  • Obtain and track authorizations for medical examinations, treatments, physical therapy, diagnostic testing and other services.
  • Work with No-Fault, Workers’ Compensation, Medicare and major commercial medical insurance plans.
  • Understand the administrative requirements associated with automobile accident and work-related injury cases.
  • Process medication refill requests, prior-authorization requests and pharmacy communications, and route all clinical decisions to the appropriate licensed provider.
  • Request, organize, release and maintain medical records in accordance with HIPAA and office procedures.
  • Review patient charts to help ensure that required documents, prescriptions, referrals, authorizations and follow-up appointments are completed.
  • Communicate with physicians, nurse practitioners, physical therapists, chiropractors, billing personnel, attorneys, insurance carriers and patients.
  • Assist with patient complaints and difficult situations in a calm and professional manner.
  • Monitor front-desk productivity, telephone performance, appointment confirmations, patient follow-up and missed appointments.
  • Help maintain accurate payment logs, daily reports and office records.
  • Assist management with office policies, employee training, compliance preparation and workflow improvements.
  • Perform other administrative and operational duties as needed.

Required Qualifications:
  • Fluent in both English and Spanish.
  • At least five years of recent medical-office or medical front-desk experience.
  • Previous supervisory, lead front-desk or medical-office-management experience.
  • Strong knowledge of medical insurance verification, authorizations, referrals and medical records.
  • Direct experience with No-Fault, Workers’ Compensation and major medical insurance plans.
  • Experience working with medical doctors and handling prescription or medication-related administrative requests.
  • Ability to train employees and hold staff accountable while maintaining a respectful work environment.
  • Strong telephone, customer-service, organizational and problem-solving skills.
  • Comfortable working in a busy, multi-provider medical office.
  • Reliable transportation and willingness to work at either the Hempstead or Lindenhurst location as needed.
  • Working knowledge of HIPAA and patient-confidentiality requirements.
  • Proficiency with electronic medical records, email, scanning, document management and general office software.

Preferred Qualifications:
  • Experience working in a multi-specialty medical practice.
  • Knowledge of physical therapy, chiropractic, primary care, orthopedics or pain-management office procedures.
  • Experience with Practice Fusion, ChiroTouch, TriZetto or similar medical-office systems.
  • Experience coordinating with medical billing and collections departments.
