In this role, you will report to the Assistant Clinical Director and Director and work in collaboration with another Office Administrator to support center operations by assisting in the management of clinical scheduling and correspondence with clients and staff, updating clinician availability and appointments in a practice management system, and entering and managing client authorizations. You will also assist with client onboarding, discharges, and referrals, support staff onboarding and scheduling, and participate in the credentialing and recredentialing process. Additionally, you will be responsible for managing incoming and outgoing clinic communications. Here is a more detailed list:
  • Hours of Work: 2pm - 6pm (Starting)
  • Days of Work: Mon - Friday
  • Bilingual in Spanish Needed
  • Conduct timely and professional communication with clients and staff via phone, email, and secure messaging
  • Schedule clinical appointments for clients across service types
  • Assist with management of updates (e.g. staff information, client information, availability, authorizations, and so forth) in the practice management system (ReThink Behavioral Health)
  • Enter and update funding authorizations for services
  • Assist with client onboarding, orientation, and navigation activities
  • Assist with client discharges and documenting as required
  • Assist with the intake and referral process, including responding to inquiries
  • Assist with maintenance of updated clinician schedules and availability in the system
  • Assist with staff hiring and onboarding processes including document collection, onboarding checklists, and tracking
  • Assist with staff assignments and ongoing schedule adjustments
  • Assist with entry and submission of payroll
  • Assist with clinician credentialing and recredentialing process by tracking submissions and gathering documentation
  • Assist with incoming and outgoing correspondence, including mail, faxes, and digital messages
  • Assist with additional duties and responsibilities as needed
