Your Role

As our Administrative Assistant/Receptionist, you will be the first point of contact for our office—playing a vital role in creating a welcoming and supportive experience for our clients. Your day-to-day responsibilities will include:

  • Reception: Greeting clients and potential clients as they arrive at the office.
  • Phones: Answering incoming calls, screening for consultations, and scheduling appointments.
  • Client Communications: Answering basic case-related questions or facilitating clients to follow-up with legal assistants or attorneys.
  • Data Entry: Keeping our case management database updated with important client information, such as contact details or case updates.
  • Document Handling: Occasionally scanning, organizing, and filing documents, including large case files.
  • Office Organization: Assisting with occasional re-filing of physical files, stocking office supplies, and maintaining a tidy workspace.
  • Various Administrative Tasks: Providing support as needed across the firm.

What We're Looking For

  • Bilingual Skills: Fluency in both Spanish and English (written and spoken) is required, given our predominantly Spanish-speaking client base.
  • Personable and Outgoing: This role involves extensive client interaction, both in-person and over the phone. We're looking for someone who enjoys engaging with the public and making people feel at ease.
  • Strong Communicator: You should feel confident communicating professionally via phone, email, text, and in person.
  • Tech-Savvy: Proficiency in Microsoft Office, Adobe Pro, LawPay, and RingCentral is a plus, as well as comfort with learning new systems.
  • Basic Knowledge of Immigration Law: If you have basic knowledge of immigration law, it will be a bonus, but is not required.

Compensation and Benefits

We offer a competitive salary based on experience, ranging from $24-32/hour (equivalent to $46,800-$62,400 annually for a 37.5-hour work week), with potential for performance-based bonuses. Our benefits include:

  • Paid Time Off: Three weeks of paid vacation (four weeks after five years), plus all federal holidays and 10 sick days. Parental leave is also provided.
  • Health Coverage: Fully paid health, dental, vision, life, and disability insurance.
  • Retirement Plan: 401(k) with employer match.
