We design, fabricate, and install premium residential structures – backyard Sheds, ADUs, Saunas, and even Homes – using a proprietary prefabricated system, built in our own warehouse, managed start to finish by our team. Role Description

  • Location: On-site
  • Type: Full-Time or Contract to hire
  • Compensation: $80,000 – $110,000

About the Role

We're looking for someone who thrives in the details and takes pride in keeping everything moving behind the scenes. You'll work directly alongside our Project Manager as a true right hand — owning the administrative and coordination layer that keeps every project on track.

This isn't a passive support role. You'll be in the middle of active projects, talking to subs, updating schedules, tracking budgets, and making sure nothing falls through the cracks. The Project Manager sets the direction — you make sure execution follows.

If you're the person who notices what's missing before anyone asks, communicates clearly under pressure, and genuinely enjoy bringing structure to chaos — you'll fit right in.

Responsibilities

  • Support the Project Manager across all active ADU projects — tracking progress, flagging issues, and ensuring nothing gets dropped.
  • Maintain and update project schedules in ClickUp, keeping all tasks, deadlines, and dependencies current and accurate.
  • Manage project documentation and communication logs in Buildertrend — RFIs, submittals, daily logs, and client-facing updates.
  • Coordinate with subcontractors on scheduling, scope confirmations, and site access — escalating issues to the PM when needed.
  • Assist with materials procurement — track orders, confirm deliveries, and communicate any supply delays to the project team.
  • Liaise with our in-house manufacturing team to help align production timelines with site schedules.
  • Support client communication — provide project updates, answer routine questions, and ensure the client always feels informed.
  • Assist with budget tracking — monitor job costs, flag variances, and help prepare financial reports for PM review.
  • Coordinate permit submissions, inspection scheduling, and municipal follow-ups.
  • Attend site visits with or on behalf of the Project Manager as needed.

Qualifications

  • Background in residential construction, project coordination, or a closely related field. You understand how a build works.
  • Highly organized with strong attention to detail — you build tracking systems and actually maintain them.
  • Clear and professional communicator, comfortable interfacing with clients, subs, and internal teams.
  • Proactive by nature. You identify what needs to happen next without waiting to be told.
  • Comfortable managing multiple moving parts simultaneously without losing accuracy or urgency.

Preferred Experience

  • Experience supporting a project manager in residential or commercial construction.
  • Working knowledge of Buildertrend and ClickUp or comparable platforms.
  • Familiarity with subcontractor coordination, materials ordering, or construction scheduling.
  • Exposure to ADU, ground-up residential, or prefab construction projects.
  • Strong proficiency in document management and project communication tools.
