Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
  • At least two years of experience in proposal review, including budgets.
  • Knowledge of applicable federal and state regulations-including compliance areas (effort, human subjects, export control, national security)-and various funding source requirements (such as NIH, NSF, DOE, DoD, USDA/NIFA, foundation, and industry sponsors), and ability to interpret and explain complex regulations.
  • Familiarity with electronic submission portals (e.g., Grants.gov, E-Grants, Tex-grants, Research.gov).
  • Demonstrated communication, customer service, conflict resolution, teamwork, and interpersonal skills, with the ability to navigate challenging situations professionally.
  • Demonstrated ability to manage complex projects involving multiple stakeholders, competing priorities, and strict deadlines.
  • Bachelor's degree

Preferred Qualifications
  • Certified Research Administrator (CRA), Certified Pre-Award Research Administrator (CPRA), or willingness to achieve certification.
  • Experience with Kuali, Cayuse, SAP, Workday or other finance or research administration software
  • At least four years of research administration or sponsored programs experience, particularly in a university setting.
  • Advanced Excel skills, Planner, Power Automate, or AI tools.
  • Knowledge of university policies and procedures.

Senior Proposal Coordinator is responsible for coordinating all aspects of compliance verification, review, and submission of grant proposals as well as conducting the final institutional review and clearance.
Job Duties
Senior Proposal Coordinator
The Senior Proposal Coordinator serves as the institutional review authority for sponsored proposals and is responsible for coordinating proposal review, compliance verification, and submission activities in accordance with university policies and sponsor requirements.
Proposal Review & Submission
Review, coordinate, and submit grant proposals and related documents for federal, state, foundation, and other sponsors. Conduct final institutional review to ensure proposals are complete, accurate, and compliant with sponsor requirements and university policies. Verify required approvals, certifications, budgets, and supporting documentation prior to submission.
Proposal Coordination & Project Management
Monitor proposal pipelines, deadlines, and submission activities. Work closely with Research Coordinators, faculty, and administrative staff to facilitate timely proposal preparation and submission. Identify issues that may affect submission timelines and assist in resolving them.
Compliance & Risk Review
Ensure adherence to sponsor guidelines, university policies, and applicable regulations. Review budgets, cost sharing, F&A rates, subrecipient documentation, and other proposal components for compliance. Escalate complex compliance or policy issues to appropriate offices and leadership.
Sponsor & Institutional Liaison Support
Communicate with sponsors, collaborating institutions, and internal stakeholders regarding proposal requirements, submission processes, and administrative matters. Coordinate with other university offices as needed to support proposal development and review.
Customer Service & Communication
Provide responsive support and guidance to faculty, staff, and colleagues regarding proposal preparation, sponsor requirements, and submission procedures. Promote collaborative working relationships and a high level of customer service.
Training & Operational Support
Assist with updating procedures, forms, and guidance materials. Support onboarding, mentoring, and training of new staff. Contribute to special projects, reporting activities, and continuous improvement efforts within the office.
