Ocean Freight Logistics Coordinator

Antillean Marine Shipping Corp is a trusted ocean freight carrier connecting Miami to the Caribbean, including Haiti, the Dominican Republic, Turks & Caicos and the Bahamas. As the company continues to grow under new leadership, we are focused on strengthening our brand presence, customer engagement, and community connection through consistent storytelling and marketing efforts.
Position Overview:
The Ocean Freight Logistics Coordinator manages export shipments from booking to vessel departure. This role makes sure cargo, documents, and timelines are handled the right way every time. Using simple, standard processes, the Traffic Coordinator helps reduce errors, prevent delays, and keep shipments moving safely, accurately, and on schedule.
Key Responsibilities:
Export Shipment Coordination
  • Coordinate export shipments from booking confirmation to vessel departure using clear, standard steps.
  • Track key deadlines and make sure each step is completed on time.
  • Monitor terminal receiving cut-off times.
  • Monitor documentation cut-off times.
  • Monitor VGM cut-off times when required.
  • Monitor dangerous goods and special cargo cut-off times.
  • Confirm cargo is ready, information is correct, and the shipment matches the vessel plan to help avoid delays and rework.

Export Documentation Management
  • Prepare, review, and process export documents correctly and on time, including:
  • Review and validate Shipping Instructions.
  • Prepare draft Bills of Lading and send them for customer review.
  • Issue final Bills of Lading based on company rules.
  • Prepare export manifests and load lists.
  • Complete cargo declaration forms when needed.
  • Handle special cargo documents, including:
  • Dangerous Goods declarations.
  • Reefer temperature setting confirmations.
  • Out-of-gauge or heavy-lift approvals when needed.

Check documents carefully to reduce errors, including:
  • Correct shipper, consignee, and notify party details.
  • Correct port codes, routing, vessel, and voyage details.
  • Correct cargo descriptions and classifications.
  • Correct weights, measurements, and unit counts.
  • Correct container or unit numbers and seal numbers.

Terminal, Port, and Vessel Coordination
  • Work with terminals and port agents to confirm shipment status, including:
  • Cargo receiving status.
  • Late gate requests.
  • Export rollovers.
  • Loading confirmations.
  • Work with vessel planners and operations teams to confirm cargo is loaded and to fix any loading issues quickly.

Compliance and Regulatory Support
  • Make sure export shipments follow required rules and standard procedures, including:
  • Customs export requirements.
  • Port authority rules.
  • SOLAS and VGM requirements when needed.
  • Company procedures and documentation standards.
  • Support customs and port inspections by providing complete and accurate documents when requested.

Exception Handling and Customer Communication
  • Identify problems early and take action to keep shipments on track, including:
  • Missing or late Shipping Instructions.
  • Documentation errors or mismatches.
  • Terminal receiving issues.
  • Rolled cargo and schedule changes.
  • Special cargo acceptance issues.
  • Communicate clearly and early with customers, forwarders, and internal teams about:
  • Documentation status.
  • Upcoming cut-off reminders.
  • Delays and rollovers.
  • Corrective actions needed to fix issues and prevent repeat problems.

Reporting and Operational Controls
  • Keep accurate shipment records and clear document audit trails.
  • Update internal systems with correct shipment status and document milestones.
  • Help track performance data to support process improvement, including:
  • Cut-off performance.
  • Documentation timeliness.
  • Amendment frequency.
  • Rolled cargo tracking.
  • Perform other assigned duties as needed.
