Position Summary

We are seeking a detail-oriented and customer- International Customer Service & Logistics Coordinator to support our global customers throughout the entire order lifecycle. This position serves as the primary point of contact for international customers and works closely with Sales, Shipping, Logistics, Production, and Accounting to ensure accurate order processing, timely communication, and exceptional customer service.

The ideal candidate is highly organized, communicates effectively, and is comfortable managing multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities

Customer Service

  • Serve as the primary point of contact for international customers.
  • Enter and process customer orders accurately and efficiently.
  • Provide product pricing and availability information.
  • Monitor inventory and communicate product availability.
  • Track order and shipment status, providing timely updates to customers.
  • Communicate estimated pickup and delivery schedules.
  • Notify customers of shipping delays or schedule changes.
  • Provide shipment weights, dimensions, and freight information as requested.
  • Maintain professional communication and build strong customer relationships.

Inside Sales

  • Prepare and provide customer quotations.
  • Assist with product submittals and support sales documentation when required.
  • Support the sales team by responding to customer inquiries and identifying opportunities to provide additional products or services.

Shipping & Logistics

  • Coordinate international freight shipments, including truck, UPS, air freight, and ocean shipments through freight forwarders.
  • Obtain and provide freight estimates.
  • Maintain accurate shipment weights and dimensions.
  • Prepare shipping documentation, including:
    • Commercial invoices
    • Packing lists
    • Customs documentation
    • Order verification documents for freight forwarders
  • Coordinate shipments with freight forwarders, including those operating through Miami.
  • Provide proof-of-shipment documentation and photographs, particularly for large or specialized orders.
  • Ensure shipping documentation is complete and accurate for customs clearance.

Accounts Receivable Support

  • Monitor incoming wire transfers to facilitate production and shipping releases.
  • Coordinate closely with the accounting department regarding customer payments.
  • Follow up on outstanding payments when necessary.
  • Assist in coordinating final payments required prior to shipment.
  • Maintain communication between Accounting, Production, Shipping, and customers regarding payment status.

Qualifications

  • Spanish language fluency required.
  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • 2+ years of customer service, inside sales, order management, or logistics experience.
  • Experience in supporting international customers and export shipments is preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple tasks and work independently.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Experience with ERP systems and CRM software is preferred.
  • Knowledge of international shipping documentation and freight coordination is a plus.
