Job description

**We support 100% remote, in-office, or hybrid work styles for anyone legally eligible to work in the U.S. 

A day in the life:

As a Creative Quality & Compliance Specialist, you'll play an integral part in the overall quality and regulatory integrity of creative output across the Healthcare division, serving as the quality and compliance checkpoint within the creative production workflow. In this role, you'll report directly to the Creative department and work alongside Creative Project Managers who own delivery timelines and task trafficking.

You will act as the gate through which every piece of creative passes before it reaches client Medical, Legal, and Regulatory (MLR) reviewers and again before it goes live. You'll review ads, landing pages, emails, social content, and video for MLR regulatory compliance, brand and design standards, and copy accuracy. Additionally, you'll operate hands-on inside Veeva Vault PromoMats-managing claims, annotations, references, and submission packages-while building and refining the quality standards the creative team works against to raise the bar across the healthcare portfolio.

While your primary authority is quality and compliance, you'll also support the creative production workflow by maintaining deliverable trackers, coordinating feedback cycles with client stakeholders, and trafficking tasks between the creative team and client POCs. As the Creative Project Manager and Account PM lead delivery management at scale, you will keep the creative lane organized and moving while ensuring nothing ships that shouldn't.

Key Responsibilities:

  • Pre-Submission Compliance QA: Review all creative assets against MLR requirements - claims accuracy, fair balance, ISI placement, reference linking, branded vs. unbranded vs. disease-awareness rules - before they enter client Medical, Legal, and Regulatory review.
  • Post-Approval Launch QA: Final quality proof of approved assets - landing pages, ads, emails, creative - before they go live, confirming that approved content was implemented correctly and no errors were introduced in production.
  • Veeva Vault PromoMats Operations: Own the hands-on Veeva workflow - annotating assets, entering and linking claims, managing references, tracking submission status, and packaging 2253 filings.
  • Brand & Design Standards Enforcement: Review creative output for visual consistency, spec adherence, and style guide compliance across all healthcare client deliverables.
  • Copy Quality Review: Review all copy for grammar, tone, messaging accuracy, and alignment with approved claims and client brand voice.
  • QA Process Documentation & Refinement: Build, maintain, and continuously improve the quality and compliance standards, checklists, and review processes the creative team follows.
  • Creative Workflow Coordination: Support creative production operations alongside the Creative Project Manager and Account PM - maintaining Asana boards and deliverable trackers, communicating timelines and managing feedback cycles with client stakeholders, trafficking tasks between the creative team and client POCs, coordinating with cross-channel PMs on shared deliverables, and organizing client-provided assets within Power Digital's file structure.
  • Employ AI technologies to enhance and optimize business processes.
  • Utilize and leverage Power Digital's Nova ecosystem as it relates to your department.
  • Other applicable or related duties as assigned.

Role Requirements:

  • 4+ years in healthcare or pharmaceutical creative production, agency or in-house, with direct exposure to MLR review workflows
  • Demonstrated understanding of FDA OPDP guidance and 21 CFR 202, including fair balance, ISI placement, branded vs. unbranded vs. disease-awareness content rules, and 2253 filing requirements
  • Veeva Vault PromoMats experience (annotating, claims management, submission tracking) highly preferred
  • Strong eye for brand consistency, design quality, and copy accuracy across digital formats (paid social, display, landing pages, email)
  • Process-oriented with the ability to document, maintain, and improve QA standards without external direction
  • Comfortable reviewing and providing clear, actionable feedback on creative work from designers, copywriters, and freelancers
  • Proficiency with Asana or comparable project management platforms
  • Experience working alongside project management teams in a fast-paced agency environment
  • Bonus: Veeva PromoMats certification, experience with modular content strategies, or prior work across both pharma-regulated and non-regulated healthcare clients

 

Key Performance Indicators (KPIs)

  • First-pass approval rate: 80%+ of assets cleared by client M/L/R reviewers on first submission
  • QA turnaround time: internal reviews completed within defined SLA (e.g. 24-48 hours)
  • Pre-launch error rate: <2% of launched assets requiring post-launch correction
  • 100% accuracy on 2253 filings and regulatory submission packaging
  • Documented QA standards maintained and current across all supported accounts

Most Important Things (MITs)

  • Establish the pre-submission and pre-launch QA checkpoints as defined, repeatable stages in the creative workflow.
  • Own the Veeva PromoMats workflow for assigned accounts - claims, annotations, references, and submissions operating cleanly from day one.
  • Build and maintain the QA standards documentation (checklists, compliance reference guides, brand review criteria) the creative team works against.
  • Develop a working rhythm with Creative Project Managers so that QA is a checkpoint in the pipeline, not a bottleneck.
