Position Purpose:
The Event Workforce Operations Producer is responsible for the planning, co-development, and execution of the strategy for all "back-of-house" logistical operations for the event. This includes crew and supplier logistics, travel and accommodations, visa coordination, ground transportation, data management, and reporting.
This role oversees operational planning and implementation, manages key client and supplier relationships, and leads assigned team members while maintaining clear, consistent communication with the event leadership team. Responsibilities include providing project status updates, schedule management, drawing change requests, crew and staffing communications, budget oversight, and deliverable tracking to ensure successful event execution. Must be available to be on ground in Saudi Arabia November & December 2026.
This is a temporary contract role, not a full-time staff position.
Responsibilities:
  • Develop and co-lead back-of-house crew operations in partnership with the client team, overseeing the planning, execution, and continuous improvement of crew operations, communications, onboarding, and operational support to deliver a seamless and engaging crew experience throughout the event.
  • Leading the development and management of Requests for Proposal (RFPs) for all assigned operational scopes.
  • Managing budgets, procurement, and vendor relationships for operational services, including travel, accommodations, ground transportation, and related logistics.
  • Leading and managing the Event Crew Operations team of approximately 5-10 team members throughout the full event lifecycle, from planning through post-event wrap-up.
  • Serving as the primary escalation point for crew-related issues by proactively troubleshooting and resolving operational challenges.
  • Creating a welcoming, inclusive, and hospitality-focused environment that fosters a positive and engaging experience for all crew members on site.
  • Assisting in the development of reports and presentations that communicate project progress, key achievements, and outstanding action items, including materials for on-site Directors Summit meetings.
  • Supporting the development of the post-event After Action Report by compiling operational metrics, data, insights, and qualitative feedback.
  • Coordinating the collection and analysis of post-event contractor evaluations to measure event success and identify opportunities for continuous improvement.
  • Providing additional pre-production support across other event workstreams, as needed, based on project priorities and workload.

Position Requirements:
  • Have excellent interpersonal & communication skills, both verbal & written
  • Bachelor's degree and/or a minimum of 10+ years of international live event, entertainment, live theater, touring concert and/or production experience at the managerial level, focusing in event operations.
  • Past experience in the GCC area required, especially KSA, Dubai, Qatar, etc.
  • Computer skills: Macintosh OS or Window platform using Microsoft Office, especially Outlook, Excel, and Powerpoint
  • Experience using AirTable, or similar database and tracking software
  • Strong knowledge of international event industry and core event production elements, terms, and process
  • Able to join Zoom meetings outside of 9am-5pm hours if needed (Some team members located in Europe or North America)
