Job Title: House Manager / Family Assistant (with Meal Prep Support) 

Location: Carlisle, MA 01741 

Employment Type: Full-Time | 3540 hours per week, 35 hours guaranteed 

Schedule: Monday through Friday, approximately 10:30 AM5:30 PM, with flexibility for morning or evening coverage when needed with advance notice. 

Compensation: $35$40 / hour plus Paid Time Off (PTO) 

Start Date: ASAP

• Reliable transportation and a valid driver's license; mileage reimbursement provided for work-related errands and child transportation.
• Fragrance-free or minimal-fragrance products strongly preferred.

About Our Family

We are a busy, close-knit family of four with two working parents and two school-aged children. Both parents run growing companies, with one working primarily from home and traveling approximately once or twice a month, while the other divides their time between home and the office. Our children are bright, active, and curious, and we value having a warm, dependable person around them who can become a trusted part of their everyday lives. We also have our seven-year-old rescue Lab mix, who is energetic, full of personality, and absolutely part of the family.

Our home is warm, active, and lived-in, with plenty going on throughout the week. We are looking for a House Manager who can bring a calm, capable presence to the household and help make everyday life feel organized, comfortable, and manageable. We truly value the person who helps make a home run well someone who notices the little things, takes pride in their work, and becomes someone the family can genuinely rely on. We appreciate warmth, discretion, good communication, and a positive attitude, and we hope to build a long-term relationship with someone who feels like a trusted extension of our family rather than simply an employee in our home.

You are naturally proactive, organized, and thoughtful. You notice what needs to be done and are comfortable taking ownership without needing to be asked about every detail. You have a good sense of priorities, follow through on what you start, and can roll with the occasional changes that come with family life. You bring genuine warmth to your interactions with children and enjoy being a steady, positive presence in their day-to-day lives.

You bring a strong combination of household management and childcare experience and feel comfortable becoming part of the rhythm of a private home. You understand that working closely with a family requires trust, discretion, flexibility, and open communication. You are confident independently managing the everyday fundamentals of household life organization, laundry, errands, meal preparation, and general home upkeep and take pride in doing those things thoughtfully and well. Above all, we are looking for someone kind, dependable, and genuinely invested in building a lasting relationship with our family, who will feel comfortable around our energetic dog and take pride in being a valued part of our household team.

Key Responsibilities

Family Support & Child Assistance

• Provide school pickups and drop-offs, including transportation to after-school activities and neighboring towns.
• Provide light homework oversight and a calm, supportive presence during the after-school hours.
• Support after-school routines and reinforce household habits, including tidying bedrooms, putting away dishes, and resetting backpacks.
• Provide backup childcare on half days, school vacation days, and other days as needed.
• Handle occasional child-related errands and activity coordination as needed .
• Provide date night coverage 12 times per month.

Household Management and Organization

• Maintain a consistent daily home reset, including tidying surfaces, managing dishes, vacuuming high-traffic areas, and preparing the home for the bi-weekly cleaning team.
• Create, maintain, and improve household organization systems with a proactive eye toward efficiency.
• Manage seasonal clothing, dcor, and bedding rotations, including coordinating donation drop-offs.
• Prepare the home for holidays, events, guests, and family gatherings.
• Unpack and organize belongings following family travel.
• Maintain the indoor plant watering schedule, particularly when the family is traveling.
• Replace batteries, filters, and smoke detector batteries as needed.
• Assist with seasonal outdoor household transitions, such as bringing in pots and storing patio cushions before winter.

Laundry & Linens

• Manage all household laundry from start to finish, including washing, folding, putting away, ironing, steaming, and special garment care.
• Maintain a weekly linen rotation for all household beds.
• Keep the laundry area clean, organized, and well stocked.

Meal Planning and Prep

• Provide meal preparation support approximately three evenings per week, including washing and chopping vegetables, marinating proteins, and other advance preparation.
• Prepare school lunches and snacks daily, including washing and cutting fruits and vegetables.
• Participate in a weekly meal-planning check-in to align groceries and preparation with the family's plans.
• Clean and reset the kitchen following meal preparation.
• Grocery shop as needed; receive and put away grocery deliveries and CSA farm-share produce.

Inventory & Errands

• Monitor household supplies and maintain running inventory and shopping lists.
• Manage routine household orders and subscriptions through services such as Amazon, Costco, and Target.
• Handle household errands, including returns, dry cleaning, gift shopping, mail and packages, and breaking down and recycling boxes.

Vehicle Upkeep

• Schedule and coordinate routine vehicle maintenance, inspections, and service appointments.
• Take family vehicles in for service or maintenance appointments as needed.

Pet Care

• Flexibility to provide overnight dog care in the family home during vacations.
• Maintain pet food, supplies, and medications as needed.
• Schedule and manage veterinary and grooming appointments.
• Provide occasional dog walking and care as needed.

Vendor and Property Oversight

• Oversee cleaners, contractors, landscapers, and other household vendors.
• Research service providers and coordinate repair quotes as needed.
• Handle seasonal outdoor property tidying, such as wiping down outdoor furniture and managing seasonal transitions.

Deep Cleaning & Special Projects

• Complete occasional deep-cleaning projects, including refrigerators, ovens, baseboards, humidifiers, and air purifiers.
• Take ownership of household organization projects, such as the craft room, storage areas, garage, and mudroom.
• Research and coordinate outside assistance for larger, one-time projects as needed.

Administrative & Calendar Support

• Maintain and contribute to the shared family Google Calendar, including adding school events, activity schedules, appointments, and other relevant updates.
• Monitor a dedicated household email account and forward relevant schedule information and communications to the family calendar.
• Provide proactive reminders regarding upcoming events, appointments, deadlines, and schedule changes.
• Assist with coordinating household events and appointments.
• Track and organize receipts and expenses incurred on behalf of the household.
