Position Overview

The Manager, Finance & Operations is responsible for the day-to-day execution of the firm's finance, business operations, and human resources functions. Reporting to the CEO, this role owns the recurring financial cycles that keep the business running, administers HR and benefits programs, and manages office operations and vendor relationships.

The Manager works alongside the firm's fractional CFO and HR advisors, carrying out the direction they and the CEO set to optimize internal systems and operations. This is a hands-on role suited to someone who is highly organized, accurate, and comfortable designing and delivering highly efficient processes end to end.

Financial Management

  • Track cash flow and working capital against forecast, and flag risks or shortfalls promptly
  • Run day-to-day accounting operations, including accounts receivable, accounts payable, and payroll
  • Own the full AR cycle: client and project setup, invoice preparation and submission, aging review, collections follow-up, and daily deposits
  • Own the full AP cycle: vendor setup (W-9s, banking details), invoice processing, approval coordination, and weekly payment execution
  • Perform bank reconciliations and maintain the accuracy and completeness of financial records
  • Prepare balance sheet reconciliations and maintain supporting schedules
  • Review employee expense reports for policy compliance and accuracy, approving within established limits and escalating exceptions
  • Maintain alignment between payroll, benefits platforms, and accounting systems
  • Administer timekeeping and reporting processes to support accurate billing and client reporting
  • Document existing financial processes and controls, and recommend improvements to the CEO and fractional CFO; implement approved changes
  • Support the annual budgeting and forecasting process by gathering inputs, maintaining schedules, and preparing drafts for CEO and fractional CFO review
  • Prepare monthly and quarterly financial reporting packages, including P&L, variance analysis, and key performance metrics, and walk leadership through the results
  • Maintain and update the firm's financial models and reporting templates; build scenario views at the request of the CEO or CFO

Human Resources

  • Administer core HR processes tied to finance, including onboarding, offboarding, and employee lifecycle changes, escalating non-standard situations to the CEO and fractional HR advisor
  • Administer employee benefits, including day-to-day employee support, renewal logistics, and Open Enrollment; serve as the working contact for the benefits broker
  • Maintain employee records and required compliance reporting; keep the handbook and policy documents current, with all changes reviewed and approved by the CEO and HR advisor
  • Maintain HRIS platform (BambooHR), benefits platforms, and other HR technology, including day-to-day vendor contacts and system accuracy
  • Coordinate recruiting: job postings, candidate communications, interview scheduling, phone screens, reference checks, and offer paperwork. Support hiring managers through the recruiting process and keep searches moving on schedule.
  • Coordinate employee engagement and culture initiatives, including DEI efforts, philanthropy, and team events
  • Serve as the first point of contact for routine employee HR questions, and route employee relations and sensitive matters to the CEO and HR advisor
  • Work with external HR advisors, at the CEO's direction, to confirm compliance and current best practices

Business Operations

  • Manage day-to-day office operations to ensure an efficient and well-functioning work environment
  • Administer vendor relationships and contracts, including maintaining the contract file, tracking key dates and renewals, and preparing renewal recommendations for CEO decision
  • Serve as the working liaison with building management and support sub-tenant relationships
  • Manage office logistics, including space, employee needs, access, keys, parking, and facilities coordination
  • Identify process improvements that would streamline workflows, and implement those approved by the CEO
  • Serve as the liaison between employees and the IT vendor, ensuring systems run smoothly and questions are answered promptly

Cross-Functional Support

  • Support the CEO on business planning and key initiatives by preparing materials, tracking deliverables, and following through on action items
  • Provide administrative and operational support as needed
  • Keep finance, HR, and operations work streams coordinated and on schedule
  • Surface issues and risks to the CEO early, with the relevant background and options assembled
  • Exercise sound judgment on routine decisions, and engage the CEO and the HR and finance consultants on anything non-routine

Qualifications

  • 5 to 7 years of progressive experience across accounting, HR administration, or business operations, ideally in a professional services or agency environment
  • Working knowledge of full-cycle AP and AR, payroll processing, and month-end close
  • Experience with an HRIS (BambooHR preferred) and accounting software; strong Excel skills
  • Demonstrated discretion and judgment in handling confidential financial and employee information
  • Proven ability to multi-task, make sound decisions and ensure seamless operations in a fast-paced environment
  • A can-do team-player approach and a willingness to pitch in where needed
  • Bachelor's degree in accounting, finance, business administration, or equivalent experience

The compensation range for this position is approximately $85-100,000 annually, commensurate with experience, skills, and qualifications.
