Job Description:
The Foundation Database Administrator will support fundraising execution by leading GIFT (fund) Management Processes and maintaining Member Database Integrity, while also supporting/leading donor research and analytics. This individual will require depth in aspects of the Raiser's Edge NXT database and its add-ins, while working to ensure accuracy, efficiency, and strategic utilization of gift data to advance philanthropy initiatives. The Foundation Database Administrator will play a critical role in supporting fundraising campaigns, events, donor stewardship, and key reporting functions across the system. The Foundation Database Administrator will oversee gift processing functions performed by the Gift Processing Specialist(s).

Gift (Fund) Management Processes:
  • Design and execute the processes that provide ease and efficiency in how GIFT (fund) disbursement requests are generated, reviewed and approved by Fund stewards and team members
  • Manage and evaluate the funds being requested and used by the hospital for proper operational approval
  • Using GIFT (fund) data, establish areas of impact by Foundation funds and drive storytelling back to donors and through philanthropic channels
  • Ensure that the requirements for specialized gifts (i.e. endowed gifts) with unique requirements for reporting and spending occur and that donor-intent is maintained by the Foundation
  • Build comprehensive reporting to internal and external constituents of the Foundation at the Gift (fund) level supporting knowledge on Gift growth, Gift depletion rates, Gift Stagnancy, and other information that would support decision-making as it relates to overall GIFT (fund) performance

Member Database Integrity:
  • Develop and enforce best practices for constituent-related data entry, storage, and retrieval maintaining consistency in entire process, the highest security of sensitive data, a collaboration with IS resources for updates and overall compliance with internal policies and industry standards
  • Review and ensure donor records, using database tools that address typical data health inaccuracies (duplicates, deceased records, missing engagement activities, board members, etc.) are accurate and support the execution of Foundation programs
  • Create, maintain, and execute database queries and reports to support fundraising analysis, campaign support, key stewardship activities such as maintenance of our Gold Leaf and Donor Wall programs, quarterly appeal solicitation and event solicitation, etc.
  • Determine and implement process improvements that increase internal knowledge of database management protocols including finding increased efficiency of both data input (gift recording) and data output processes (Thank You acknowledgements)
  • Oversee event management application for its attendee, data and gift alignment to constituent records into Raiser's Edge NXT
  • Oversee the daily management of Raiser's Edge NXT, ensuring accurate data entry of gifts to campaign, fund and appeal attributes and accurate protocols for recording, receipting and depositing of gifts across the system
  • Other duties as assigned

Data Analysis & Prospect Research:
  • Supports the increase of prospect discovery activities, including but not limited to retention and upgrade analysis, while providing a recommendation for a course of action
  • Through research and analytical tools, provide prospects with the highest potential for major giving and then quickly and efficiently makes the proper portfolio assignments after prospects are identified and qualified
  • Supports the building of development officer portfolios and helping define the moves for current, lapsed and new potential donors, in partnership with development leadership

Education Requirement:
  • Bachelor's degree is required, preferably in Business Administration, Nonprofit Management, Data Science, or a related field

Required Qualifications:
  • Experience: Minimum of 3-5 years of database management experience, preferably in a nonprofit, healthcare, or higher education setting
  • Proficiency in Raiser's Edge NXT (or similar donor database)
  • Strong analytical skills and the ability to translate data into actionable insights
  • High attention to detail with excellent organizational and time-management skills
  • Strong problem-solving skills, adaptability, and the ability to work independently and as part of a team
  • A strategic thinker with a passion for leveraging data to enhance fundraising success
  • Ability to define problems, collect data, establish facts, and draw conclusions
  • A highly ethical and discreet individual who respects the confidentiality of donor information

Preferred Qualifications:
  • Experience with application plug-ins to Raiser's Edge NXT (Omatic, Almabase, etc.) and their ability to integrate data across applications
  • Experience in grant funding
  • Experience with prospect research tools
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
