Job description

FM Construction Group is seeking a detail-oriented and organized Accounts Payable Specialist to join our growing accounting team. This position is responsible for processing vendor invoices, subcontractor payments, and expense reports while ensuring accuracy, compliance, and timely payment. The ideal candidate has strong organizational skills, thrives in a fast-paced construction environment, and can effectively communicate with vendors, project managers, and internal departments.


Responsibilities

  • Process a high volume of vendor and subcontractor invoices accurately and efficiently.
  • Match invoices to purchase orders, contracts, and supporting documentation.
  • Verify invoice coding and allocate costs to the appropriate jobs and general ledger accounts.
  • Prepare bi-weekly check runs, ACH, and wire payments.
  • Reconcile vendor statements and resolve invoice discrepancies in a timely manner.
  • Maintain accurate vendor files, including W-9s, certificates of insurance, and payment information.
  • Assist with collecting lien waivers and supporting documentation as needed.
  • Respond promptly to vendor inquiries regarding payment status.
  • Monitor outstanding invoices and ensure deadlines are met.
  • Assist with month-end closing, account reconciliations, and audit requests.
  • Maintain organized electronic and physical accounting records.
  • Perform additional accounting and administrative duties as assigned.

Qualifications

  • 2+ years of Accounts Payable experience, preferably within the construction industry.
  • Experience with construction accounting and job cost accounting is strongly preferred.
  • Knowledge of purchase orders, subcontractor billing, and vendor management.
  • Proficiency in Microsoft Excel and accounting software (QuickBooks experience is a plus).
  • Excellent attention to detail and strong organizational skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong written and verbal communication skills.
  • High level of professionalism, integrity, and confidentiality.
