Food Pantry Manager

The Food Pantry Manager reports to the Director of Community Outreach and supports MACAA's Economic Opportunity impact area. This position oversees the daily operations of MACAA's Fluvanna Food Pantry in Fluvanna County, Virginia, ensuring services are delivered efficiently, safely, and in compliance with all regulations. Responsibilities include managing inventory, coordinating food deliveries and pickups, recruiting, scheduling, and supervising volunteers. The Manager also builds and maintains strong relationships with community partners and donors to strengthen service delivery and expand impact. Through effective communication, organization, and collaboration, this role ensures smooth operations while providing essential nutrition services to the community.

Qualifications
  • High school diploma or GED
  • 2+ years food or customer service experience and 1+ year supervisory experience
  • Strong communication and organizational skills
  • Valid driver's license, car insurance, a clean driving record, and reliable transportation
  • Ability to safely operate a van or small box truck
  • Must be available to work evenings and weekends, as needed.
  • Onsite work with lifting (up to 50 lbs.), standing, and local travel.
  • Demonstrated technological skills and capacity to learn new digital systems
  • Ability to pass a background check, including criminal history and sex offender registry searches, at a minimum. Additional screenings, such as child abuse and neglect registry, DMV driving record searches, or physical exams may be required for certain positions as required by policy or regulation.
Internal Operations, Program Management & Continuous Improvement
  • Establish pantry goals in collaboration with the Director of Community Services and implement policies, procedures, and systems aligned with program objectives and MACAA's mission
  • Ensure services operate within budget while supporting financial development efforts and responsible resource management
  • Collect, analyze, and report program data and outcomes; use Community Needs Assessments and data insights to drive continuous improvement
  • Maintain up-to-date logic models and prepare reports for internal leadership, the Board of Directors, and funders
  • Maintain consistent communication with the Deputy Director and Executive Director regarding outcomes, challenges, and opportunities to strengthen food and nutrition services
  • Recruit, train, schedule, and supervise volunteers; provide direction, ensure coverage, and track hours and contributions
  • Oversee client intake and data systems, including eligibility verification and maintaining accurate household records and documentation
  • Assist clients apply for SNAP and Medicaid benefits
  • Manage pantry inventory through routine counts, ordering, and stocking of food and supplies using best practices
  • Conduct monthly inventory of USDA foods and report to Blue Ridge Area Food Bank
  • Coordinate food pickups and deliveries, ensure proper handling, temperature monitoring, and issue resolution with suppliers and partners
  • Maintain pantry vehicles, including inspections, registrations, safety oversight, and documentation such as fuel receipts
  • Promote program innovation by implementing best practices, using benchmarking data, and advancing strategies that shift from transactional assistance to transformational, outcome-focused services
  • Support cross-program collaboration to strengthen service coordination and improve outcomes for individuals and families
External Partnerships, Community Engagement & Client Services
  • Build and sustain partnerships with local agencies, schools, faith-based organizations, government entities, and community stakeholders to expand resources and program reach
  • Serve as a representative of MACAA's food and nutrition programs, increasing awareness and positioning the pantry as a trusted community resource
  • Respond to community inquiries (phone/email), provide referrals to MACAA and partner services, and support outreach and event promotion
  • Ensure clear, accessible communication about how to access services across the community
  • Engage in interagency meetings, networking opportunities, and community initiatives within the service area
  • Collaborate with partners to support anti-poverty efforts and strengthen the overall network of services available to residents
  • Participate in efforts that enhance program visibility, partnerships, and community impact
