We're looking for a highly organized Production Management Administrator to support our Production leadership team by keeping operations organized, compliant, and running efficiently.
Position Summary
The Production Management Administrator serves as the administrative hub of the Production Department. This role supports daily operations through scheduling, reporting, training coordination, onboarding, compliance tracking, and production documentation.
The ideal candidate enjoys organization, works well with data, communicates confidently with employees at every level, and thrives in a fast-paced production environment.
Shift: Monday-Friday (40 Hours per Week)
ESSENTIAL RESPONSIBILITIES
Production Administration
  • Support the Production Manager with daily administrative activities.
  • Maintain department records, reports, and operational documentation.
  • Coordinate calendars, meetings, interviews, and training schedules.
  • Prepare meeting agendas, document action items, and track follow-up tasks.

Onboarding & Training
  • Assist with new hire orientation and onboarding.
  • Coordinate recurring employee training through the Learning Management System (LMS).
  • Maintain training records and ensure compliance requirements are met.
  • Partner with HR and department leaders to support staffing initiatives.

Recruiting Support
  • Review applicants forwarded by HR.
  • Conduct initial phone screens for production positions.
  • Schedule interviews and communicate with candidates throughout the hiring process.

Timekeeping & Payroll Support
  • Assist supervisors with daily timekeeping corrections.
  • Monitor attendance and labor hours using Paylocity.
  • Support payroll accuracy through routine audits and reconciliation.

Food Safety & Compliance
  • Maintain food safety and regulatory documentation.
  • Track HACCP, FDA, and internal compliance records.
  • Assist with audit preparation and documentation management.
  • Ensure required records remain accurate, complete, and current.

Reporting & Data Analysis
  • Prepare daily, weekly, and monthly operational reports.
  • Compile labor, productivity, and waste reports.
  • Analyze production data and identify trends.
  • Support leadership with information used to improve efficiency and reduce operational costs.

  • Fully bilingual in English and Spanish (spoken and written) High School Diploma or GED Previous administrative, operations, HR, or production support experience
  • Strong Microsoft Excel skills, including formulas, sorting, filtering, and data organization
  • Excellent organizational and time management skills
  • Strong verbal and written communication skills Ability to prioritize multiple projects in a fast-paced environment
  • High attention to detail and accuracy
