Job description

Documentation Specialist

Precision matters. Ownership matters. Your work makes the difference

Are you highly organized, detail-driven, and passionate about doing work that truly matters? Do you thrive in a role where accuracy, communication, and follow-through directly impact people's lives?

We're looking for a Documentation Specialist who thrives in a structured, high-accountability environment and understands the importance of accuracy, urgency, and compliance. In this role, you'll be responsible for ensuring critical documentation is complete, compliant, and processed efficiently while building strong, professional relationships with physician offices and internal partners

What You'll Do

Drive Documentation Completion & Accuracy (25%)

  • Proactively contact physician offices to confirm receipt of required paperwork
  • Review documentation for completeness and compliance with strict standards
  • Follow up persistently to ensure all required information is accurate and fully completed

Deliver Exceptional Customer Experience (25%)

  • Own each interaction with professionalism and empathy through inbound and outbound calls
  • Build strong, trust-based relationships with physician offices and partners
  • Ensure every touchpoint reflects a high standard of service and responsiveness

Educate & Influence External Partners (25%)

  • Clearly communicate the urgency and importance of timely documentation
  • Guide physician offices through requirements to reduce delays and errors
  • Partner with internal teams to support product awareness and opportunities

Ensure Administrative Excellence (25%)

  • Receive, process, and organize a high volume of sensitive documents and communications
  • Manage both electronic and paper files with a high level of accuracy and confidentiality
  • Analyze workflows and identify opportunities to improve efficiency
  • Adhere strictly to all company policies, especially when handling confidential information

What You Bring

We're looking for someone who is meticulous, proactive, and thrives in a structured, fast-paced environment.

Required Qualifications

  • High school diploma or equivalent (associate degree preferred)
  • 3+ years of experience in a fast-paced, metrics-driven administrative, healthcare support, or customer service environment
  • Demonstrated experience managing documentation workflows requiring accuracy, compliance, and follow-through
  • Working knowledge of Medicare/Medicaid processes and documentation standards
  • Strong verbal communication skills, with confidence interacting with external professional offices
  • Proven ability to manage multiple priorities while maintaining a high level of accuracy
  • Proficiency in Microsoft Office (Outlook, Excel, Word) with strong typing and data entry accuracy
  • Candidates must currently possess unrestricted authorization to work in the United States. Work visa sponsorship is not available for this role

Preferred Experience

  • Experience working with physician offices, medical documentation, or regulated environments
  • Familiarity with compliance-driven processes or audit requirements
  • Experience in roles requiring high-volume follow-up and documentation completion

How You'll Succeed

  • Follow through relentlessly until tasks are fully complete
  • Are highly organized and naturally structured in their approach
  • Are comfortable holding others accountable while maintaining professionalism
  • Prioritize accuracy over speed and know how to achieve both
  • Take initiative to solve problems instead of escalating prematurely

Work Environment

  • Office-based role in a professional, low-noise setting
  • Collaborative team focused on accuracy, service, and continuous improvement

The Company offers the following benefits for this position, subject to applicable eligibility requirements
