Job description

Temporary Contract Position (4-5 Months)

Reports To: Technology Manager

*Flex schedule / remote days available*

Position Overview

The SmartCare EHR Analyst serves as the primary day-to-day administrator and subject matter expert for the agency's SmartCare Electronic Health Record (EHR) system during a temporary maternity leave coverage assignment. This position is responsible for maintaining system operations, supporting end users, optimizing workflows, resolving issues, developing reports, and ensuring the EHR continues to support high-quality clinical documentation, billing, compliance, and operational efficiency.

Working closely with the Technology Manager and leaders across Clinical, Billing, Compliance, Intake, Operations, and Executive Leadership, the SmartCare EHR Analyst ensures uninterrupted EHR support while continuing ongoing optimization initiatives.

This is a temporary 4-5 month contract position with an anticipated start date of August 31, 2026.

Key Responsibilities

SmartCare Administration

  • Serve as the primary SmartCare administrator during the contract period.
  • Maintain user accounts, security roles, permissions, templates, forms, and system configuration.
  • Coordinate directly with SmartCare support regarding technical issues, upgrades, testing, and system enhancements.
  • Monitor system functionality and resolve day-to-day EHR issues.
  • Support ongoing post-go-live optimization efforts.

User Support & Training

  • Provide daily SmartCare support to clinicians and operational staff.
  • Troubleshoot workflow and documentation issues.
  • Conduct new hire SmartCare training.
  • Develop tip sheets, workflow guides, and training materials.
  • Assist departments with improving documentation efficiency.

Workflow Optimization

  • Review existing workflows and recommend improvements.
  • Standardize documentation processes across locations.
  • Assist leadership in implementing new SmartCare workflows.
  • Test new functionality before organizational rollout.

Reporting & Analytics

  • Create and maintain operational reports.
  • Assist leadership with productivity reporting.
  • Support billing reports and documentation monitoring.
  • Build dashboards to support organizational decision-making.

Compliance & Documentation Quality

  • Monitor documentation quality within SmartCare.
  • Identify workflow issues affecting compliance.
  • Assist with audit preparation.
  • Ensure system configuration supports Medicaid, CARF, DBH, and payer requirements.

Qualifications

Required

  • Associate's or Bachelor's degree in Information Systems, Healthcare Administration, Health Information Management, Behavioral Health, or a related field preferred.
  • Minimum two years of SmartCare EHR administration experience.
  • Experience training users on an electronic health record.
  • Experience creating reports and dashboards.
  • Strong troubleshooting and analytical skills.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred

  • Experience with SmartCare EHR.
  • Experience in Ohio behavioral health.
  • Knowledge of Medicaid documentation standards.
  • Knowledge of Ohio Department of Behavioral Health requirements.
  • Experience supporting behavioral health clinicians.
