Introduction
The Department of Health Services (DHS),Division of Medicaid Services (DMS) is recruiting to fill an Administrative Assistant position at the Milwaukee Enrollment Services (MilES) . MilES serves residents of Milwaukee County to determine eligibility for Medicaid, BadgerCare Plus, FoodShare, and other income maintenance assistance programs.

This position will be expected to work from the MilES 64th Street office building a minimum of 3 days per week (Tuesday - Thursday) with the opportunity of 2 days of remote work. Flexibility for additional remote days may be available in the future. This schedule may vary based on training or operational need.
Position Summary
As an Administrative Assistant you will independently be responsible for providing confidential administrative support to the Director's Office. In this position you will review and distribute mail; coordinate meetings and take minutes; coordinate the updates of manuals and procedures; maintain electronic calendars and respond to emails as requested; coordinate travel arrangements; purchase office supplies; and assist Human Resources (HR) and Section Managers with correspondence, documents and tasks as needed.
Salary Information
The starting pay is between $22.00 and $28.41 per hour (approximately between $45,700 and 59,000 per year), depending on qualifications, plus excellent benefits. A 12-month probationary period is required.
Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as a Secretary-Confidential and is in pay schedule and range 81/05.
Job Details
All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.
For positions that allow remote working flexibility, working outside of Wisconsin or in bordering cities will not be allowed except in extremely limited circumstances due to the need to report to an office location in Wisconsin on short notice.
Employees must have access to both a private workspace and secure high-speed internet for remote work option. Mileage reimbursement to the employee's headquarter location is not provided. Remote work flexibility will be discussed in more detail during the interview process.
DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire. DHS is not an E-Verify employer nor a STEM-OPT eligible employer.
Qualifications
Minimally qualified applicants will have all of the following:
  • Experience communicating with internal and external customers (e.g., responding to inquiries, explaining policies or procedures, resolving issues, collecting information etc.) by phone, email, or in person.
  • Experience providing administrative support in an office environment (e.g., distributing mail, taking meeting minutes, responding to emails, arranging travel, coordinating or scheduling meetings or applicant interviews, etc.).
  • Experience using Microsoft Office Suite programs (e.g., Word, Excel, Outlook, etc.) for data entry, spreadsheet or report production, email, and calendar management, and document creation
  • Ability to type a minimum of 45 words per minute (this will be verified).
Well-qualified applicants will also have one or more of the following:
  • Experience working with confidential information such as Personally Identifiable Information (PII), HR information, etc.
  • Experience creating or updating administrative policies or procedures
