We are a full-service HVAC, building automation, chiller, and retrofit contractor with a reputation for combining high-quality consulting services with customized energy solutions. Our integrated, single-source solutions include turnkey in-house capabilities with design assistance, as well as engineering applications and automated control systems.

Job Summary

It is the responsibility of the Fleet Manager to assist each office in assuring our fleet of vehicles are kept well organized as well as safe while being maintained on a regular scheduled basis. Including but not limited to all cost, billing, maintenance, GPS, Scorecards and vehicle orders/Inventory for over 1200 vehicles in 4 Western States. Fleet Manager has one Fleet Administrator direct report and 12+ local admins that they work closely with daily.

Essential Duties & Responsibilities

Supporting the lease renewals with the most economical option available. Vehicles are to be leased by selecting the appropriate Ford Truck, Van or Escape or otherwise based on the estimated mileage driven and the job description of the employee. This includes signing each lease agreement as well as monitoring the vehicle through the life term of the lease. Procure needed vehicles to support growth or for replacing vehicles that need to be retired. Factory orders must be preplanned by branch needs. Occasionally procuring vehicles "off-lot" for emergencies. Building local dealer relationships is critical for off-lot vehicles. Supply all vehicles with proper registration, safety equipment, gas cards, maintenance and decals. (Emblem, phone numbers and vehicle numbers) Support all vehicles with GPS. This includes installation and software loading. Must load the driver's vehicle, vin number, name, and office into the database. Includes keeping the software up to date with loaded vendors, customers, landmarks and employee access of security. Also includes training dispatchers, supervisors and managers on how to read and view reports as well as how to use the software for managing or investigating. Support all maintenance 24hrs a day 7 days a week. Must monitor and authorize all vehicle maintenance over $1500.00. This includes tracking and documenting in the GPS software as well as reviewing monthly statements for inaccuracies. Managing and tracking monthly vehicle inspections by drivers and supervisors. Assist in supporting all accident claims to assure the vehicles are repaired in a timely fashion for a competitive price. Includes following up with claims and investigations. Report all vehicle accidents to corporate and contacting Fleet Response Support and track the weekly and monthly gas reports for each office. Assist in assuring gas cards are used correctly by verifying the card matches the driver and the vehicle. Also assist in viewing the right gas is used and the miles per gallon fall into the vehicles category of average MPG. Maintain and update monthly GPS driver scorecard for the state. Assure we have accurate data supporting the scorecard. (i.e.- the correct drivers name matching the unit# and vin) Support continuous efforts in reducing costs related to the fleet. Review spare vehicles across the state to relocate them as needed before ordering new replacements. Occasionally, compare lease payments and gas prices with other companies. Send out the fleet summary twice a year (May / Oct) to all branch managers to verify if there are new vehicle orders needed. Develop and oversee branch scorecards. (Accidents, driver behavior, on time maintenance, vehicle inspections, 5S) Ensure all retired vehicles get properly processed and we receive fair market value. Responsible for ensuring all Fleet Administrators for Corporate and each local branch are trained and accountable to maintain their respective vehicles.

Qualifications

High School or equivalent experience. Proficiency in Excel, Word, Microsoft Windows, and O365 5+ years of Fleet Managing experience Excellent communication and organizational skills Make sound financial decisions relating to fleet expenses and strategies supporting a fleet worth over $50 million. In-office position Travel required to our branches in 4 states (CA,NV,AZ,WA)
