Position Summary

The Fleet Manager is responsible for coordinating, and overseeing the agency’s Transportation Department. This role ensures the safe, timely, and compliant movement of clients while improving operational efficiency, reducing staff burnout, and strengthening communication between transportation services and program leadership.
The Fleet Manager serves as the central point of accountability for transportation operations, staffing, scheduling, routing, compliance, and training.

Essential Duties and Responsibilities

-Operational Oversight:
- Oversee all incoming transportation requests and tickets

- Reconcile all fleet management invoices

- Coordinate monthly inspections of agency vehicles

- Manage vehicle lease renewals
- Coordinate routing, dispatching, and scheduling

- Manage all DOAS vehicle audits
- Ensure consistent coverage for emergencies and callouts


Staffing & Scheduling:
- Manage staffing assignments

- Support onboarding, training, and staff development


Safety & Compliance:
- Remain current of transportation standards and requirements from external governing and accrediting bodies

-Ensure compliance with safety standards and regulations
- Monitor credentials, vehicle readiness, and documentation

-Collaborate with Directors on the development of policies and procedures related to transportation and agency fleet


Coordination & Communication:
- Serve as liaison with between transportation and program management
- Provide operational updates, including recurring reports of performance metrics

-Release formal communications regarding protocols and procedures

Quality & Performance Improvement:
- Monitor metrics related to response times, vehicle accidents and incidents, transportation access, and service effectiveness
- Identify process improvements

Qualifications
  • High School Diploma/College Degree or equivalent work experience
  • A minimum of 1 year managing employees
  • Must have 24 months’ experience in fleet services
  • Experience in applicable transportation operations
  • Candidate should have experience with an electronic fleet management system
  • Advanced computer skills are required. (Microsoft Excel, Word, PowerPoint)
  • Completion of annual training (i.e. CPR, First Aid, CPI, Defensive Driving)
  • Valid Class C Driver’s License required
  • A (3) year motor vehicle report is required
  • Must be available to work some evenings, nights, and weekends
  • Must be able to work in all climates
  • Ability to lift 30 lbs
