ABOUT THIS ROLE

This is an exciting opportunity for an Operations Specialist to join our Purchase & Sales (P&S) department in our growing Fintech organization. Apex is seeking a detail-oriented and customer-focused Operations Specialist to support daily trade processing and client service within our P&S department. In this role, you will serve as a key point of contact for internal and external clients, ensuring trade postings, corrections, and reconciliations are handled accurately and within service level agreement (SLA) guidelines.

This role is an excellent launching point for individuals looking to build a career in financial services operations. You will gain exposure to equities, fixed income, and derivative products while developing foundational knowledge of clearing and custody operations, FINRA regulations, and cross-functional collaboration. If you are energized by fast-paced environments, thrive on problem-solving, and want to make an immediate impact on the team from day one, we would love to meet you!

We are looking for someone who:

  • Is passionate - You have a genuine passion for people and developing relationships.
  • Is motivated - You are driven to be the best. You challenge yourself by setting goals, crushing them, and helping your teammates do the same.
  • Is collaborative - You partner with stakeholders throughout the organization to cultivate a thriving workplace and strong cultural foundation.
  • Wants to make an impact - You set high standards for your work and are dedicated to helping employees achieve greater satisfaction and superior results.
  • Operates with integrity - You always conduct yourself with honesty and operate ethically. You say what you mean, and mean what you say.
Key Skills and Responsibilities: Customer Service
  • Work with and offer assistance to internal and external customers with questions regarding trade postings and corrections.
  • Ensure customer inquiries are completed in accordance with service level agreement (SLA) guidelines.
  • Respond to inquiries in a professional and timely manner, escalating issues to management when appropriate.
  • Build and maintain positive relationships with internal teams and external clients to support effective resolution of trade-related matters.
Trade Processing & Reconciliation
  • Process and verify daily purchase and sale transactions across equities, fixed income products, and derivatives.
  • Identify and resolve trade discrepancies, out-of-balance conditions, and posting errors in a timely manner.
  • Assist with the resolution of escalations during option expiration events.
  • Coordinate with counterparties and internal teams to facilitate accurate and timely trade settlement.
Supervisory Oversight and Compliance
  • On a daily basis, review and complete supervisory oversight and provide updates to management as needed.
  • Maintain familiarity with FINRA regulations and industry standards; identify documentation and processing irregularities and outline corrective measures.
  • Operate in compliance with applicable regulatory requirements and internal policies at all times.
  • Contribute to process improvement initiatives by flagging recurring issues and suggesting operational enhancements.
Key Skills
  • Domain Knowledge: Basic understanding of financial markets, trade processing, and clearing/custody operations, including equities, fixed income, and derivatives.
  • Customer Focus: Exceptional ability to manage client inquiries professionally, meet SLA commitments, and build strong working relationships with internal and external stakeholders.
  • Detail-Oriented: Strong attention to accuracy in trade posting, corrections, and reconciliation to minimize errors and downstream impact.
  • Communication: Clear verbal and written communication skills, with the ability to translate complex trade issues into actionable steps for clients and leadership.
  • Adaptability: Ability to remain calm and effective in a fast-paced, dynamic environment with shifting priorities and high-volume workloads.
  • Analytical Mindset: Ability to identify irregularities in trade processing and documentation, and propose corrective measures proactively.
  • Collaborative Partnership: Comfortable working across Operations, Compliance, and Technology teams to drive issue resolution and process improvement.
  • Technical Proficiency: Microsoft Office skills (Excel required); SQL experience is a strong plus.
A few reasons why you might love us:
  • We are a leader in the space. We have an amazing track record of success and we foster ongoing innovation. So you get all the benefits of a proven, growing company, while enjoying a very entrepreneurial culture.
  • The team is really motivating. You will work with people who are as energetic, smart, and determined as you are. You will be managed by the best, too.
  • Your work will be immediately impactful. You will be able to see your direct impact on the department. You won't be just another cog in the wheel.
And a few reasons why you may not like working for us:
  • You do not like change. This is not a job for someone who likes 'predictable.' The market is dynamic which means the work is dynamic. It's a fast-paced environment and you need to be able to adapt accordingly. You won't be bored.
  • You are not the collaborative type. We work together to ensure the best possible solutions for our internal teams. If you're looking to hide out and do your own thing, this might not be the right spot.
  • You like task singularity. You have to be able to multi-task. If you are single threaded and have to work on a task from start to finish, you may not like this role. We need someone who can switch gears smoothly while still juggling competing priorities.
Required Background Experience
  • Industry Experience: 1-2 years of experience in financial services operations, trade processing, or a related field; entry-level candidates with a relevant degree and a strong desire to learn are encouraged to apply.
  • Education: Bachelor's degree or equivalent experience required; a degree in Finance, Business, Economics, or a related field is a plus.
  • Licenses: SIE, Series 99, or Series 7 required or to be obtained within 90 days of hire.
  • Customer & Client Interaction: Experience working with internal and external clients in a professional setting; strong customer service and problem-solving skills.
  • Technical Proficiency: Microsoft Office tools including Excel; SQL experience is a strong plus for data queries and reconciliation support.
  • Attention to Detail: Must be detail-oriented and focused on accuracy and customer satisfaction in a high-volume environment.
  • Multi-tasking: Demonstrated ability to manage competing priorities while maintaining strong attention to detail and composure under pressure.
