Job description

Project Management Quality Services, LLC (PMQS) is seeking a highly organized and detail-oriented Administrative Assistant to support our staffing operations team. This position is responsible for coordinating all onboarding, compliance, and pre-employment activities after a candidate has been selected by the client.


The ideal candidate has experience working within staffing environments, understands workforce compliance requirements, and can effectively manage multiple candidates through onboarding while maintaining accurate records and communicating status updates to management.


Position Summary

The Administrative Assistant serves as the central point of contact for candidates after client selection through their first day of work. This individual will coordinate medical qualifications, fit testing, PPE requirements, onboarding documentation, and client-specific compliance requirements while ensuring all information is accurately documented within company systems.


Key Responsibilities

  • Coordinate all candidate onboarding activities following client selection
  • Schedule and track medical qualifications (Med Quals)
  • Coordinate respirator fit testing appointments
  • Arrange PPE pickup and onboarding requirements
  • Coordinate background checks, drug screenings, and client-required compliance activities
  • Ensure all onboarding documentation is completed accurately and on schedule
  • Maintain detailed candidate records in Bullhorn and other tracking systems
  • Document all onboarding activities, communications, and milestones within the applicant tracking system
  • Monitor candidate progress and identify potential delays or issues
  • Provide regular status updates to management regarding each candidate’s onboarding progress
  • Communicate with candidates regarding appointments, documentation requirements, and start dates
  • Work closely with recruiters, account managers, clients, and candidates to ensure a smooth onboarding process
  • Maintain onboarding checklists and compliance documentation
  • Support reporting and administrative staffing functions as needed
