Currently, we have an Office Manager / Administrative Assistant - Title & Escrow Operations opportunity with a trusted leader in the title and escrow industry, known for its stability, innovative solutions, and commitment to exceptional customer service. The Office Manager / Administrative Assistant is responsible for the specific duties below.
Your specific duties will include:

  • Office Operations & Administration: Oversee daily office operations, manage vendor relationships, coordinate executive calendars, and serve as the welcoming first point of contact for clients.
  • Title & Escrow Support: Manage file intake, process closing packages, and monitor transaction pipelines to ensure real estate files move swiftly and accurately.
  • Client Coordination: Act as the central liaison between buyers, sellers, lenders, and agents to facilitate seamless communication and coordinate closing schedules.
  • Compliance & Risk Management: Safeguard confidential information, adhere strictly to privacy and fraud prevention protocols, and support routine operational audits.
  • Financial & Accounting Support: Process Accounts Payable (AP) and Accounts Receivable (AR), coordinate vendor payments, and assist with escrow accounting and expense reconciliation.
  • Team Leadership: Assist management with recruiting, onboarding, and training administrative staff while fostering a collaborative, customer-focused workplace culture.

Required qualifications for the position include:

  • High school diploma or equivalent.
  • 5+ years of experience in office management, administration, or professional services.
  • Proficiency in Microsoft Office Suite and accounting software (such as QuickBooks).
  • Exceptional organizational, multitasking, and time-management skills.
  • Outstanding communication and customer service skills.

Preferred qualifications for the position include:

  • Candidates who do not have a title and escrow background will still be considered for the role.
  • Associate's or Bachelor's degree in Business, Accounting, Real Estate, Management, or a related field.

Pay Rate Range: $24.37 - $34.05 per hour
