Summary of Job Duties:This position is an integral part for The Office of Volunteer Engagement and Patient Experience and serves as the central point to provide program support for the Center activities. This position also greets and assists patients, families, volunteers, guests, advisors and staff. It is essential that this individual reflects knowledge of and commitment to patient- and family-centered concepts and approaches, and provides excellent customer service to assist in supporting the needs of our patients and families.
Qualifications:

Minimum Qualifications:

  • Bachelor's Degree or equivalent combination of education and experience.
  • Minimum of 2 years administrative or program coordination experience.
  • Strong customer service skills; high level of written, oral, and interpersonal communication skills; strong technical skills--proficient with MS Office Suite; basic understanding of financial spreadsheets/budget preparation; attention to detail; good judgment; critical thinking skills; enthusiastic about helping others.


Additional Information:

Job Responsibilities:

  • Maintain group/council rosters and coordinate department meetings and minutes.
  • Collaborates with Communications and Marketing to update webpages and social media.
  • Manages the Associate Chief Quality Officer's and Director's calendars.
  • Responds to patient/family requests as needed. Coordinates special meetings.
  • Assists with onboarding process for employees and volunteers
  • Provides support for correspondence as requested.
  • Monitors and approves program expenditures ensuring that budget allocations are accurately maintained; prepares or assists in preparation of proposal for funding or funding continuation.
  • Responsible for processing accounts payable/receivable.
  • Coordinates travel, processes travel reimbursements.
  • Schedules and follows up on department maintenance and IT needs.
  • Compiles and prepares reports (i.e. budgets and spreadsheets).
  • Collaborates with departments to plan and coordinate events within budget perimeters.
  • Responsible for creating purchase requisitions, including follow through to payment of invoices.
  • Provides interpretation of applicable rules, laws and regulations.
  • Oversees routine office functions, including opening and closing of office daily.
  • Department liaison for the Suite.
  • Working knowledge of departments to answer questions in the absence of team members.
  • Provides backup support to other staff as needed.
  • Assists with meal ticket distribution and documentation.
  • Validates parking tickets for suite visitors.
  • Assists volunteers in documenting service hours.
  • Performs other duties as assigned.
