Job description

We are seeking a detail-oriented, warm, and highly professional Administrative Assistant to join our team in Shalimar. In this role, you support the advisor and our clients—many of whom are active-duty service members, veterans, and military spouses.

You will manage critical daily office operations, handle administrative and clerical support, coordinate calendars, and assist our Financial Advisors in maintaining strong, trusting relationships with the families we serve.


Key Responsibilities

  • Client Relations: Warmly greet clients and visitors, manage incoming calls, and provide an exceptional, respectful customer service experience.
  • Calendar & Scheduling: Coordinate and confirm client appointments, manage advisor schedules, and keep the district calendar updated.
  • Clerical Support: Prepare client files, handle data entry, manage physical and digital records, maintain standard office organization, and prepare all required paperwork/workflows.
  • Advisor Liaison: Assist in problem-solving and serve as an administrative bridge between clients and advisors.
  • Compliance & Operations: Ensure all paperwork and client correspondence meet regulations and company compliance.
  • Community Support: Assist in organizing local client events or outreach efforts geared toward the surrounding military community.


Requirements & Qualifications

  • Experience: Prior administrative, receptionist, or clerical experience is required (experience in financial services or executive support is a strong plus).
  • Military Connection: A deep respect for and understanding of the military lifestyle is highly preferred. (Veterans and military spouses are strongly encouraged to apply!)
  • Communication Skills: Exceptional verbal and written communication skills with a highly professional demeanor.
  • Technical Proficiency: Comfortable learning new software, managing digital calendars, and utilizing MS Office (Word, Excel, Outlook).
  • Attributes: Strong organizational skills, sharp attention to detail, and the ability to multitask in a busy environment.
