Essential Duties:

  • Answer and direct incoming calls.
  • Organize and maintain both electronic and physical files to ensure easy access and secure storage.
  • Track and renew certifications for field staff to ensure compliance with industry standards.
  • Prepare project closeout documentation to facilitate smooth project completion and handover.
  • Develop and maintain job-specific packets to provide essential information and resources for each project.
  • Compile and distribute reporting documents to division personnel, ensuring up-to-date information across teams.
  • Perform general office tasks such as data entry, filing, and office organization.
  • Maintain consistent and clear communication with all division personnel to support team alignment and project progress.
  • Assist managers with additional tasks and projects as assigned, contributing to the overall efficiency of the division.

Requirements:

  • 2+ years of progressive administrative experience.
  • Ability to prioritize tasks and manage time effectively while communicating clearly at all organizational levels.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Strong focus on accuracy and thoroughness in all tasks.
  • Demonstrates a collaborative and proactive approach to work.
  • Basic Proficiency in English required. Candidates must have a basic understanding of English for safety purposes and to communicate with colleagues, vendors, and contractors on-site effectively. The ability to follow instructions and engage with the team is essential for success in this role.
