Position Summary:

The Director of Financial Operations is responsible for overseeing the financial operations of the organization, including Purchasing, Accounts Payable, Payroll, Banking and Merchant Services, and developing and maintaining best practices and internal controls for the organization's financial operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversees financial operations, including annual audits, payroll regulations, and 1099 preparation, ensuring efficiency and smooth workflow.

  • Oversees the Procurement Services team to ensure appropriate supplier base, pricing, terms and superior customer service is provided to the PCOM community.

  • Oversees the Accounts Payable team to ensure accurate and timely processing and payment of invoices, and superior customer service is provided to the PCOM community.

  • Oversees the Payroll team to ensure accurate and timely processing of payroll, and superior customer service is provided to the PCOM community.

  • Manages the banking requirements for the entire organization.

  • Manages the accuracy and integration of operational data to the general ledger and financial reporting.

  • Manages Merchant Services (credit card processor) relationship and both the online and the physical credit card machines within PCOM. Also manages the credit card processor for the on-campus garage payments.

  • Manages the procurement card programs and ensures timely monthly reconciliations. Assists ITS with PCI compliance.

  • Manages online federal and state tax payments for multiple tax entities.

  • Manages online collection software (i.e. for Institutional Advancement donations) such as PayPal, Converge, etc.

  • Ensures PCOM representation in the various college purchasing consortia.

  • Manages the Travel Agency relationship, online booking software, reward plans and discounts.

  • Manages and maintains departmental policies and procedures.

  • Responsible for campus-wide training of the ERP software relating to the areas of responsibility.

  • Supervises the service-oriented financial operations team, including full-time, part-time and contract staff.

  • Interprets, provides guidance, and trains employees, managers, and staff in the areas of the position, and related policies and procedures; reporting needed changes. Cross-trains staff to ensure backup capabilities.

  • Provides support to the Deputy Chief of Finance for overall operations.

  • Performs other related duties and projects as assigned and requested.

REQUIRED SKILLS AND EXPERIENCE:

  • 5-8 years senior-level administrative experience, including supervisory experience

  • 5-8 years hands-on general ledger accounting experience

  • Experience in a higher education/nonprofit organization highly desirable.

  • Workday experience is preferred

  • Integrity and sound judgment, excellent communication and organizational skills, and the ability to effectively and professionally work with administration, faculty and staff.

  • Extremely reliable and has demonstrated experience meeting deadlines.

  • Ability to maintain an extremely high level of confidentiality in dealing with sensitive information.

  • Ability to work independently and as part of a team.

  • Detail-oriented, accurate, organized, and thorough in the planning and implementation of work tasks.

  • Proficiency in analysis and reconciliations.

  • Refined ability to provide leadership and training to key personnel

  • Ability to manage simultaneous tasks and adjust strategy to changing demands.

  • Ability to build and nurture a diverse, respectful, and positive working environment and to coach supervisees, as well as peers

  • Proficiency in Microsoft Office applications (strong Excel skills) and financial accounting processes and software systems.

  • Resourceful and flexible in using available resources and technology in the most efficient manner; must be highly adaptable to technological changes.

EDUCATION AND CERTIFICATIONS:

  • Required: Bachelor's Degree in Accounting

Compensation will be commensurate with the candidate's experience, education, and the responsibilities of the role.

The referenced salary range is based on PCOM good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
