Job description

As the Boys & Girls Club of Truckee Meadows celebrates its 50th Anniversary of serving our community, we are looking for a mission-driven professional to join our finance team. The Purchasing Coordinator is responsible for executing the centralized purchasing process from the time an order is requested to the time the order arrives. This role is also responsible for implementing best practices and identifying areas for improvement, and will be required to assist in other projects for Finance and Accounting as assigned. This is a full-time, on-site position from 8:00am – 5:00pm.

Our Mission: To enable all young people, especially those who need us most, to reach their full potential as caring, productive, responsible citizens. 

These are some of the responsibilities of the Purchasing Coordinator:

  • Oversee approval process for electronic requisitions. Follow up with approvers as needed.
  • Review coding in the Purchasing module and convert electronic requisitions to purchase orders.
  • Make purchases with a wide array of vendors online for shipment to the Boys & Girls Club and/or for pickup locally.
  • Receive orders in Accounting system. Follow up on damaged or missing items.
  • Contact requestors as orders arrive for pickup.
  • Assist with developing policies relating to purchasing furniture, equipment and technology hardware.
  • Ensure financial policies and procedures are adhered to. 
  • Periodic review of vendors to ensure best quality and pricing are being obtained. 
  • This position requires use of a personal vehicle to pick up & drop off items locally in the Reno/Sparks area. Mileage reimbursement will be provided. Must be 21 and have a valid driver’s license and can pass annual insurance review of driving history.

Required Education & Experience:

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • Knowledge of procurement policies preferred.
  • Experience with Sage Intacct preferred.

  • Excellent written and verbal communication skills, able to communicate effectively with a diverse population, and represent BGCTM professionally to the community.
  • Excellent organizational skills and attention to detail.
  • Comfortable working with and around a large amount of paper and files in a fast-paced environment.
  • Able to produce and provide data/reports in a timely manner.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Able to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or similar software.

Physical Requirements & Work Environment: 

  • Must be able to perform duties which require walking, talking, hearing, standing, sitting, and/or bending for long periods of time.  May occasionally be required to kneel, run and/or climb.
  • Must be able to use hands and arms to enter data into the computer, use the telephone and other office equipment.
  • Must be able to perform surface and deep cleaning appropriately using potentially hazardous cleaners including bleach, as needed.
  • Must be able to lift, move manipulate and or hold objects up to 45 pounds. Objects that exceed the 45-pound weight limit require additional assistance when moving, lifting or manipulating.
