MISSION / ROLE 

We are seeking a highly capable Financial Administrator (m/f/d) to join our U.S. team in Chicago. This role sits at the intersection of Finance, People & Culture, Payroll, and Office Administration, acting as a key operational connector between our U.S. organization and our Germany-based People & Culture team. 

You will play a central role in ensuring smooth financial operations, compliant payroll processing, and high-quality employee experience across the entire employee lifecycle. This is a mid-level professional position suited for someone who thrives in a structured yet dynamic environment and enjoys working across functions and geographies. 

YOUR TASKS AND RESPONSIBILITIES

Finance & Accounting  

  • Support month-end and year-end closing activities, financial reporting, accounting processes, budgeting, and cost controlling 
  • Monitor and ensure that expenditures align with approved budgets 
  • Prepare and deliver spending and financial control reports  
  • Support financial compliance including tax-related and governmental reporting requirements  
  • Collaborate closely with the Finance team in Germany to ensure alignment with global group policies 
  • Provide financial insights and operational support to local and group management 
  • Support Sales and Use Tax compliance through registration and filing activities

Payroll & Compensation 

  • Manage and review semi-monthly payroll processing for U.S. employees 
  • Support sales commission calculations and payout processes, including review of sales agreements 
  • Conduct regular payroll and billing audits to ensure accuracy and financial integrity 
  • Ensure compliance with applicable payroll tax and labor regulations 

Office & Operations Management (U.S.) 

  • Take part in U.S. Office Management responsibilities 
  • Support administrative and operational office processes 
  • Partner with Finance and People & Culture colleagues to ensure efficient day-to-day operations  
  • Collaborate with external advisors to ensure full legal and regulatory compliance  
  • Support cross-functional initiatives and operational improvements  

People & Culture / HR Operations 

  • Serve as a liaison between U.S. operations and the People & Culture team in Germany 
  • Support employee operations, including onboarding and offboarding processes 
  • Co-create and maintain a positive, inclusive, and compliant workplace environment that fosters employee engagement and morale 
  • Ensure compliance with state-specific U.S. employment regulations and internal policies 
  • Support benefits administration and employee communications regarding policies, updates, and company news 

YOUR PROFILE  

  • Several years of experience in Finance, HR Operations, Payroll, or Office Administration (mid-level) 
  • Strong understanding of U.S. payroll processes (GAAP) and employment practices 
  • Experience working in international or cross-functional environments is highly preferred  
  • Structured, detail-oriented, and highly reliable working style 
  • Strong communication skills and ability to act as a bridge between teams in different countries 
  • Comfortable handling confidential data with discretion  
  • Proficient in HR/finance systems and MS Office or similar tools
