THE GIST:

Our client, a rapidly growing independent wealth management firm managing over $1 billion in assets for UHNWIs, is seeking an Executive Assistant/Client Services Associate to support their CEO/Managing Partner & team of advisors. This role will play an important role in supporting client communications, coordinating service requests, maintaining operational processes, and assisting with business development and marketing initiatives. This role offers direct exposure to executive leadership, involvement in strategic initiatives, and the chance to work alongside a talented and dedicated team committed to long-term success!



THE NITTY GRITTY:

  • Serve as a primary point of contact for client service requests, ensuring timely follow-up and resolution
  • Support Managing Partner & advisors with client meeting preparation, scheduling, and follow-up communications
  • Coordinate account paperwork, onboarding activities, and administrative requests while maintaining accuracy and attention to detail
  • Maintain client records, workflows, and documentation within firm systems
  • Assist with client communications, presentations, and marketing materials
  • Support business development efforts through event coordination, prospect communications, and relationship management activities
  • Track action items and follow-ups to ensure an exceptional client experience and consistent execution
  • Collaborate with team members, custodians, vendors, and external partners to support ongoing client needs and firm initiatives
  • Help coordinate client events, educational programs, and firm-sponsored activities


THE ESSENTIALS:

  • 3+ years of experience working as a Client Services Associate, Sales Assistant, or Executive Assistant
  • Previous experience working in wealth management required
  • Exceptional organizational and project management skills
  • Strong attention to detail
  • Proactive mindset with the ability to anticipate needs and take initiative
  • Excellent written and verbal communication skills
  • Strong emotional intelligence and professional judgment
  • High degree of discretion and ability to handle confidential information
  • Collaborative approach with a proven ability to work effectively across teams
