Job description

We are seeking a versatile, organized, and highly capable professional to join our team as an Executive Assistant / Paraplanner. This hybrid role is ideal for an individual with moderate to advanced experience in a financial services, accounting, or law firm. The successful candidate will help manage daily operations while also providing high-level technical and administrative support to our financial advisors and clients.

Paraplanning and Analytical Support

· Financial Plan Preparation: Gather and analyze client data to prepare comprehensive financial plans and reports using financial planning software.

· Estate and Tax Planning Support: Collaborate with advisors and external professionals (CPAs, attorneys) on integrated tax and estate planning.

· Documentation and Compliance: Prepare suitability reports, client presentations, and ensure all client files and documentation are compliant with industry regulations.

· Client Interaction: Serve as a key point of contact for clients for data gathering, information clarification, and general inquiries, ensuring a professional and caring experience.

Office Management and Administration

· Office Operations: Oversee the day-to-day operations of the office and workflows to increase efficiency and track cases to completion.

· Scheduling: Serve as the main point of contact for clients scheduling meetings.

· Administrative Support: Handle core administrative tasks such as data entry into the CRM system, ensuring data is accurate and up-to-date, and processing client paperwork (e.g., account openings, money movements).

Requirements

· Education: A degree or a professional designation in Finance, Accounting, Law, or Business Administration; or the current pursuit of a degree/designation is required.

· Experience: Work experience in a financial services firm, public accounting office, or estate planning law firm is preferred.

· Skills:

o Professional attention to detail and organizational skills, with the ability to manage multiple projects and deadlines.

o Strong written and verbal communication skills.

o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

· A high level of integrity and ability to maintain strict confidentiality.

· Knowledge of industry regulations and compliance standards is extremely beneficial.
