Job description

Our client, a top law firm in Chicago, is seeking a Financial Operations Analyst to provide critical support to its Security Governance team. This role will help ensure continuity across financial planning, budgeting, procurement, reporting, and operational activities. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while working with financial data and cross-functional stakeholders.
This position will focus heavily on fiscal year budget planning and financial operations, including budget preparation, forecasting support, procurement coordination, contract tracking, and reporting. The Financial Operations Analyst will play a key role in maintaining accurate financial documentation, supporting vendor and purchasing activities, and helping leadership navigate high-volume planning cycles.
As part of the Security Governance organization, this individual will work within a highly professional and confidential environment that supports cybersecurity initiatives, regulatory compliance, and enterprise risk management. Strong judgment, discretion, and attention to detail are essential for success in this role.
Key Responsibilities
Fiscal Year Budget Planning
  • Support annual budget planning activities, including documentation preparation, financial tracking, and stakeholder coordination.
  • Assist with gathering vendor quotes and supporting financial forecasts.
  • Develop and maintain budget planning materials, presentations, and reports.
  • Monitor planning milestones and ensure budget-related deliverables are completed on schedule.
  • Organize and maintain budget documentation and supporting records.

Budget Management & Financial Operations
  • Assist with monthly budget reconciliation and financial tracking activities.
  • Monitor invoices, purchase requisitions, and payment status.
  • Support procurement processes and facilitate activities within Coupa.
  • Maintain accurate records for contracts, expenditures, and budget allocations.
  • Help identify and resolve budget-related issues in collaboration with key stakeholders.

Procurement & Contract Administration
  • Track contract renewals, purchase orders, and vendor agreements.
  • Support procurement requests and coordinate purchasing activities.
  • Assist with contract financial reviews and supporting documentation.
  • Monitor procurement workflows to ensure timely processing and completion.

Project & Operational Support
  • Provide limited project tracking and demand management support.
  • Coordinate follow-up activities and track action items across stakeholders.
  • Support project transitions and operational initiatives as needed.
  • Assist with reporting and administrative activities to ensure smooth team operations.

Administrative & Reporting Support
  • Maintain reporting documentation and presentation materials.
  • Assist with ad hoc operational and administrative requests.
  • Support leadership with scheduling, tracking, and organizational needs during high-demand periods.

Qualifications
Education & Experience
  • Bachelor's degree preferred.
  • 3-5 years of experience in financial planning, budgeting, financial operations, procurement, strategy and operations, or a related field.
  • Experience supporting budget management, forecasting, procurement, and contract administration.
  • Familiarity with tracking financial performance, vendor contracts, invoices, and project-related expenditures.

Technical Skills
  • Advanced proficiency in Microsoft Excel and PowerPoint.
  • Ability to analyze financial data and create professional, executive-level presentations.
  • Experience with procurement and purchasing systems, preferably Coupa.
  • Strong aptitude for learning new systems and processes.
