Position: Accounting Associate

Schedule: Full-Time or Part-Time, depending on candidate

Position Overview

Dornin Investment Group (DIG) are seeking a highly organized, detail-oriented Accounting Associate to support the day-to-day accounting and financial operations of our real estate portfolio and related companies.

This is an excellent opportunity for an accounting student, recent graduate, or early-career accounting professional who wants meaningful, hands-on experience beyond traditional data entry or bookkeeping.

The Accounting Associate will work directly with our team gain experience in accounts payable, accounts receivable, bank reconciliations, general ledger accounting, property-level financial reporting, cash management, construction accounting, lender draws, and real estate accounting systems.

We are looking for someone who is intelligent, dependable, highly organized, comfortable with numbers, and interested in developing into a well-rounded accounting professional.

Primary Responsibilities

Accounts Payable

  • Receive, review, organize, and process vendor invoices into Yardi Pay Scan.
  • Confirm invoices are coded to the correct property, entity, account, and project.
  • Enter invoices into Yardi.
  • Maintain accurate supporting documentation for all payments in Yardi.
  • Track invoice approvals and follow up on outstanding approvals.
  • Assist with weekly check runs.
  • Maintain vendor records and W-9 documentation.
  • Review invoices for duplicate payments, discrepancies, and incorrect charges.
  • Assist with construction-related invoices, lien releases, loan draws and supporting documentation.
  • Maintain organized electronic accounting files.

Accounts Receivable

  • Track amounts owed to properties and management entities.
  • Manage tenant ledger.
  • Assist with recording and monitoring receivables.
  • Track outstanding balances and follow up on past-due amounts.
  • Record charges and payments received and apply them to the appropriate accounts.
  • Assist with monthly AR reporting.
  • Reconcile receivable balances to the general ledger.

Property & Management Company Accounting

Assist with accounting for multiple real estate properties and related entities, including:

  • Management fees
  • Construction management fees
  • Leasing commissions
  • Asset Management Fees
  • Credit card reimbursements
  • Bank fee reimbursements
  • Intercompany expenses and reimbursements
  • Property-level operating expenses

Ensure transactions are properly allocated to the appropriate property and entity.

Bank & Credit Card Reconciliations

  • Perform monthly bank reconciliations.
  • Reconcile corporate and property credit cards.
  • Match credit card transactions to receipts and supporting documentation.
  • Maintain monthly reconciliation workbooks.
  • Research and resolve discrepancies.
  • Confirm all transactions are properly recorded in Yardi.

General Ledger & Month-End Close

Assist the accounting team with monthly financial close, including:

  • Assist with general ledger review
  • Assist with Account reconciliations
  • Assist journal entries
  • Assist with Prepaid expenses
  • Assist with intercompany transactions
  • Assist with bank wire set ups
  • Assist with bank reconciliations
  • Assist with credit card reconciliations
  • Assist with 23+11AP and AR reconciliation

Help ensure each property's accounting records are complete and accurate before monthly financial statements are finalized.

Financial Reporting

Assist with the preparation and review of monthly property financial statements, including:

  • Balance Sheet
  • Income Statement / Profit & Loss
  • General Ledger
  • Budget-to-Actual reports
  • Accounts Receivable reports
  • Accounts Payable reports
  • Cash balances
  • Property-level expense reports

The Accounting Associate will gradually be trained to review financial statements and identify unusual balances, missing expenses, coding errors, or other discrepancies.

Cash Management & Wire Transfers

Assist the accounting and management teams with cash management activities, including:

  • Reviewing bank balances.
  • Preparing wire transfer requests.
  • Gathering invoices and supporting documentation for wires.
  • Confirming banking instructions against approved documentation.
  • Preparing wire packages for management approval.
  • Maintaining documentation of completed wires.
  • Recording transactions in the accounting system.

This position may prepare and assist with wire transfers but will not independently authorize or release company funds. All wires and cash transfers are subject to the Company's approval and internal-control procedures.

Construction & Lender Draws

Assist with accounting related to construction projects and lender requirements, including:

  • Organizing construction invoices.
  • Tracking project expenditures.
  • Assisting with construction draw packages.
  • Maintaining draw schedules.
  • Tracking lender-funded expenses.
  • Tracking construction reserves.
  • Maintaining supporting documentation.
  • Assisting with reconciliation of draws to accounting records.

Yardi

The Accounting Associate will work extensively within Yardi.

Responsibilities may include:

  • Invoice entry
  • AP processing
  • AR entries
  • General ledger review
  • Property and unit coding
  • Management fee tracking
  • Reimbursement tracking
  • Leasing commission tracking
  • Financial report generation
  • Account research and reconciliation

Prior Yardi experience is preferred but not required. Training will be provided to the right candidate.

Qualifications

Required

  • Currently pursuing or recently completed coursework in Accounting, Finance, Business Administration, or a related field.
  • Strong understanding of basic accounting principles.
  • Strong Excel skills.
  • Excellent attention to detail.
  • Strong organizational and follow-through skills.
  • Ability to work with confidential financial information.
  • Ability to manage multiple entities, properties, accounts, and deadlines.
  • Strong written and verbal communication skills.
  • Comfortable researching discrepancies rather than simply entering data.
  • Ability to work independently while also knowing when to ask questions.

Preferred

  • Associate's or Bachelor's degree in Accounting or Finance, or currently working toward one.
  • Previous AP, AR, bookkeeping, accounting, banking, or administrative finance experience.
  • Experience with Yardi is preferred.
  • Real estate accounting experience.
  • Understanding of financial statements.
  • Experience with bank and credit card reconciliations.
