Front Desk Receptionist – Philadelphia Ophthalmology Associates

Position Summary

The Front Desk Receptionist serves as the first point of contact for patients and visitors at our ophthalmology practice. This role is responsible for providing exceptional customer service, managing patient appointments, handling administrative tasks, and ensuring efficient front office operations. The ideal candidate is professional, organized, detail-oriented, and committed to creating a positive patient experience.

Key Responsibilities

Patient Reception & Customer Service

  • Greet patients, visitors, and vendors in a friendly and professional manner.
  • Check patients in and out for appointments.
  • Verify patient demographics, insurance information, and required documentation.
  • Answer incoming phone calls and respond to inquiries regarding appointments, services, and office policies.
  • Address patient concerns and direct them to the appropriate staff member when necessary.

Scheduling & Administrative Support

  • Schedule, confirm, and reschedule patient appointments.
  • Manage provider schedules to maximize efficiency and patient flow.
  • Send appointment reminders and follow-up communications.
  • Maintain accurate patient records within the electronic medical record (EMR) system.
  • Scan, file, and organize patient documents and correspondence.

Insurance & Financial Responsibilities

  • Verify insurance eligibility and benefits prior to appointments.
  • Collect copayments, deductibles, and outstanding balances.
  • Process patient payments and provide receipts.
  • Assist patients with completing registration and consent forms.
  • Maintain confidentiality of patient financial and medical information.

Office Operations

  • Coordinate patient flow and communicate delays or schedule changes.
  • Maintain a clean, organized, and welcoming reception area.
  • Order and monitor front office supplies as needed.
  • Assist clinical and administrative staff with clerical duties.
  • Ensure compliance with HIPAA and all applicable privacy regulations.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum of 1 year of customer service, receptionist, or medical office experience.
  • Strong communication and interpersonal skills.
  • Proficiency with computers, Microsoft Office, and office equipment.
  • Ability to multitask in a fast-paced healthcare environment.
  • Excellent organizational skills and attention to detail.

Preferred

  • Previous experience in an ophthalmology, optometry, or medical practice.
  • Knowledge of medical terminology and insurance verification processes.
  • Experience with electronic medical records (EMR) systems.
  • Bilingual skills are a plus.
