Assistant Corporate Director of Finance

Full Time Dallas, TX, US

Salary Range: $95,000.00 To $120,000.00 Annually

Position Summary

The Assistant Corporate Director of Finance supports the Corporate Director of Finance in overseeing the centralized accounting and financial control functions for PAH Management's managed hotel properties. This position is responsible for the day-to-day management of accounting operations, timely and accurate financial closing and reporting cycles, financial controls, tax compliance, and the development and implementation of financial policies and procedures. This position requires a high level of integrity, confidentiality, analytical ability, and attention to detail while ensuring financial information is accurate, timely, and compliant with company policies and applicable requirements.

Essential Duties and Responsibilities

The following is a representative list of duties and is not exhaustive. Other duties may be assigned.

Financial Operations & Internal Controls
  • Assist the Corporate Director of Finance in protecting the assets of the company and its operating entities through prudent financial oversight and effective internal controls.
  • Manage the Accounting Department's daily activities and maintain efficient and accurate accounting processes.
  • Complete daily revenue reports and cashier over/short reports for all assigned hotels, and distribute reports to operational departments according to established deadlines.
  • Reconcile daily cash, check, and credit card receipts and investigate discrepancies as needed.
  • Communicate chargebacks to the appropriate hotel and monitor responses through resolution.
  • Monitor spending in IBUY and identify adjustments as needed.
  • Supervise month-end financial closing processes for assigned entities and establish and enforce deadlines for all stages of the closing process.
  • Prepare and post required journal entries accurately to the general ledger system for assigned entities.
  • Close and balance Accounts Payable within established month-end deadlines and complete all month-end revenue and statistical reporting accurately and on schedule.
  • Complete balance sheet reconciliations for assigned hotels and review reconciliations prepared by other accounting team members.
  • Coordinate the preparation, review, finalization, and distribution of financial statements and General Ledger reports according to established deadlines.
  • Complete year-end closings for all assigned entities and verify that all relevant account analyses are completed according to required timing guidelines.
  • Complete and/or review and approve balance sheet account analyses and bank reconciliations for assigned entities and submit required documentation to the Corporate Director of Finance for review and approval.
  • Maintain intercompany liability book balances and reconcile intercompany account balances with the accounting departments of respective entities, resolving discrepancies within established deadlines.
  • Coordinate the scheduling and completion of required physical inventories for food and beverage and other operating supplies in accordance with established guidelines.
  • Verify that book inventory entries are balanced to receipts and issues and that perpetual inventory system details are accurately stated.
Budgeting, Policies & Process Improvement
  • Assist the Corporate Director of Finance in preparing annual budget plans for assigned entities and completing annual IBUY checkbook budget uploads.
  • Support the Corporate Director of Finance in maintaining compliance with budgetary guidelines and company policies and procedures.
  • Contribute to the development and implementation of internal policies and procedures designed to improve operational efficiency and financial results.
  • Educate operating areas across assigned entities on applicable financial guidelines and policies and reinforce adherence to established requirements.
  • Manage compliance with corporate and local record retention schedules, including coordinating the rotation and destruction of records between properties and outside storage.
  • Research and investigate inquiries presented by properties, regional operations managers, and ownership groups and provide appropriate follow-up.
What You Bring Required:
  • Minimum of three (3) to five (5) years of progressive accounting or finance experience in a hotel or related industry; an equivalent combination of education and experience may be considered.
  • Strong understanding of accounting principles and financial control practices.
  • Experience with financial reporting, general ledger accounting, reconciliations, payroll, accounts payable, and month-end and year-end closing processes.
  • Strong critical thinking, analytical, and problem-solving abilities.
  • Proficiency in Microsoft Excel and the Microsoft Office Suite.
  • Ability to manage multiple priorities, meet strict deadlines, and maintain accuracy in a fast-paced environment.
Preferred:
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred but not required.
  • Experience overseeing accounting functions for multiple hotel properties or operating entities.
Work Environment and Physical Requirements
  • This position is based on-site at the Corporate Office in Dallas, TX.
  • Standard business hours are expected; additional hours may be required during month-end, quarter-end, year-end close, budgeting, audits, and other critical business periods.
  • Ability to remain in a stationary position for extended periods while reviewing financial information, using a computer, and participating in meetings.
  • Frequently uses computers, telephones, calculators, and other standard office equipment.
  • Ability to move or transport files, documents, office supplies, or equipment weighing up to 20 pounds.
  • Must be able to work effectively in a fast-paced environment while maintaining accuracy, confidentiality, and attention to detail.
