Administrative Business Manager (ABM)- Pace Life Sciences Lebanon, New Jersey

Summary

The Administrative Business Manager (ABM) plays a key role in keeping our site running smoothly by supporting day-to-day financial operations, billing, purchasing, and administrative processes. This is an excellent opportunity for someone with bookkeeping, office management, or early accounting/finance experience who wants to grow into a broader business operations role. You'll work closely with the Site Leader, department managers, and corporate finance teams while building hands on experience in financial reporting, budgeting, and revenue management.

Billing & Customer Support

  • Review financial documents for accuracy, proper coding, and correct calculations
  • Assist with Profit & Loss (P&L) reviews to ensure revenue and expenses are recorded correctly.
  • Maintain Work in Progress (WIP) entries and support revenue tracking.
  • Review financial data to spot errors, unusual trends, or coding issues.
  • Prepare and send customer invoices.
  • Research and resolve billing questions or discrepancies.
  • Review aging reports and support collection efforts for overdue balances.
  • Work with internal teams to ensure accurate and timely billing.

Purchasing & Vendor Coordination

  • Assist with purchase orders (POs), vendor payments, and purchasing workflows.
  • Ensure correct department and account coding for purchases.
  • Help resolve vendor billing or payment issues.

Compliance & Administrative Support

  • Ensure financial processes follow company policies and regulatory requirements.
  • Maintain accurate records and support audit readiness.
  • Provide general administrative support to keep operations running efficiently

  • Experience with systems like LIMS, Salesforce, Great Plains, or Workday is a plus.
  • Strong Excel skills and proficiency with Microsoft Office.
  • High attention to detail and accuracy.
  • Strong communication skills and comfort working with multiple teams.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to maintain confidentiality of financial and business information.
