Job description

Accounting & Payroll Manager – Signature Resort


Location: in-person in Grand Rapids, MI, or remotely in Michigan

Travel: British Virgin Islands – approximately quarterly, with additional travel as needed

Schedule: Monday through Friday with occasional evenings/weekends as needed


We are seeking an experienced Accounting & Payroll Manager to join the finance team supporting a premier, signature luxury resort property in the British Virgin Islands. This is an exciting opportunity for an accounting professional who enjoys a combination of hands-on accounting, financial oversight, and cross-functional leadership within the hospitality industry.


The Accounting Manager will be based in Grand Rapids, Michigan (or remotely in Michigan) and serve as the primary financial liaison between the corporate office and the resort's on-island accounting and finance team. This position will oversee accounting, payroll, accounts payable, procurement, financial reporting, and related finance operations while ensuring accuracy, consistency, and compliance with established corporate standards.


The successful candidate will be comfortable working independently, managing priorities across multiple teams, and traveling internationally to support the resort operation.

Position Summary


The Accounting Manager reports to the Controller for Managed Properties and provides financial and operational oversight for the resort. This role is responsible for ensuring the timely and accurate completion of month-end close, financial reporting, payroll, accounts payable, procurement, reconciliations, and other accounting functions.


The position will work closely with the on-island team as well as corporate finance, accounting, accounts payable, and other operational departments.


Key Responsibilities:

Accounting & Financial Reporting


* Lead the monthly financial close process, including review and posting of journal entries, accruals, and reclassifications.

* Prepare monthly financial statements, including P&L, balance sheet, departmental reports, and daily financial flash reports.

* Perform and review monthly balance sheet reconciliations, including cash, accounts receivable, prepaids, fixed assets, accruals, and deferred revenue.

* Review financial activity for accuracy, completeness, and compliance with corporate accounting standards.

* Provide financial analysis and commentary to help operational leaders understand business performance.

* Assist with the annual budgeting process.

* Lead or support special accounting and finance projects as assigned.


Payroll & Compliance


* Review and approve bi-weekly payroll processed by the on-island team.

* Verify employee hours, rates, tips, deductions, accruals, and other payroll-related items.

* Oversee tip reconciliation across food and beverage outlets and other tipped positions.

* Monitor PTO accruals, usage, and balances while ensuring compliance with company policies and applicable BVI labor requirements.

* Coordinate preparation and submission of BVI payroll taxes and required contributions, including NHI and Social Security Board requirements.

* Review payroll journal entries and ensure appropriate allocation across departments and cost centers.


Accounts Payable & Procurement


* Provide oversight of the on-island accounts payable process, including invoice coding, approvals, and payment processing.

* Review purchase orders for appropriate coding, approvals, and alignment with budgets.

* Monitor procurement systems to ensure accurate three-way matching of purchase orders, receipts, and invoices.

* Maintain the accuracy and integrity of vendor and item master data.

* Coordinate with the corporate accounts payable team regarding vendors paid through the Michigan office.

* Ensure smooth communication and handoff between the corporate and on-island AP teams.

* Maintain vendor documentation, including tax forms, payment terms, and payment instructions.


Cash & Credit Card Reconciliation


* Monitor credit card settlements and reconcile merchant statements to the general ledger.

* Investigate discrepancies and coordinate timely resolution.

* Monitor cash activity and ensure appropriate reconciliation and reporting.


Required Skills & Qualifications


* Demonstrated experience overseeing payroll processes, including tip reconciliation, PTO tracking, and benefits.

* Strong knowledge of accounts payable and procurement processes, including three-way matching and approval workflows.

* Advanced proficiency in Microsoft Excel, including pivot tables, lookups, and complex formulas.

* Strong written and verbal communication skills, including the ability to explain financial information to non-finance professionals.

* Strong analytical and problem-solving skills.

* Ability to work independently with limited daily supervision.

* Highly organized with the ability to manage multiple priorities and deadlines.

* Comfortable balancing hands-on accounting responsibilities with managerial oversight.

* Ability to identify potential issues proactively and drive solutions.

* Comfortable working in a fast-paced, evolving hospitality environment.


Education & Experience


* Bachelor's degree in Accounting, Finance, Business, or a related field required.

* Progressive accounting experience with responsibility for month-end close and financial statement preparation.

* Hospitality accounting experience strongly preferred.

* Experience with Agilysys systems, including Eatec, InfoGenesis, or Versa, preferred.

* Familiarity with British Virgin Islands labor regulations, payroll taxes, NHI, and Social Security Board requirements preferred.

* Comparable Caribbean, international, or resort accounting experience will also be considered.


Travel & Physical Requirements


* Must have a current passport or be eligible to obtain one.

* Ability to travel to the British Virgin Islands at least once per quarter, with flexibility for additional travel during transition periods, audits, or financial close.

* Periodic work outside of normal business hours may be required to coordinate with the on-island team and accommodate international time differences.
