Festival Coordinator-Tradeshow

We are looking to hire for the following term position from September 8, 2026 - November 10, 2026.

Banff Centre for Arts and Creativityaims to inspire everyone who attends our campus - artists, leaders, and thinkers - to unleash their creative potential.

The Opportunity

The Banff Centre Mountain Film and Book Festival is one of the flagship programs of Banff Centre. As one of the world's pre-eminent mountain festivals - and a co-founder of the International Alliance for Mountain Film - the Festival began more than 40 years ago in the small Rocky Mountain town of Banff, Alberta. What began as a one-day festival of climbing films has now blossomed into a nine-day event in Banff that explores and celebrates what Mountain Culture means to people around the world. Events include film screenings; film, book, and photography competitions; a filmmaking workshop and mountain marketplace.

The Mountain Culture department at Banff Centre is looking for Tradeshow Support to assist in the coordination and implementation of the Banff Centre Mountain Film and Book Festival's tradeshow. Reliable, self-motivated, and highly organized while remaining flexible to changing priorities, demonstrating strong written and oral communication abilities and excellent interpersonal skills when dealing with all stakeholders, partners, and guests.

Specific Accountabilities

Administers all aspects of trade show organization for over 60 booths, including:

  • prompts updates to the exhibitor webpage
  • designs and implements exhibitor registration packages and exhibitor handbook
  • processes exhibitor registrations and payments
  • oversees provision of operational and technical requirements
  • assists with marketing and remedial efforts as required
  • organizes sponsor exhibitions
  • ensures completeness of trade show portion of group resume
  • supervises volunteer trade show coordinators
  • liaises with exhibitors during the festivals, troubleshooting where required
  • meets revenue expectations for booth rentals
  • tracks in-coming and out-going exhibitor shipments
  • manages AHS Environment, Health, and Public Safety forms and requirements
  • designs Festival Marketplace floorplan in accordance with registrations
  • answers questions for all attending sponsors and exhibitors
  • manages the exhibitor waitlist and solicits for new exhibitors as needed
  • liaises with Banff Centre departments regarding F&B, Housekeeping, Security, Media & Production and other departments as necessary
Qualification and Educational Requirements
  • Bachelor's degree
  • Minimum three-to-five years' administrative experience
  • Previous experience with events, tradeshows and/or festivals is required
  • Strong computer skills in word processing, Outlook, Excel and databases;
  • Demonstrated ability to work independently, to lead by example, to problem-solve responsibly, and to communicate clearly and effectively with both internal and external individuals and organizations while working cohesively within a dynamic team
  • Exceptional time-management and organizational skills with the ability to manage multiple projects at once while still maintaining exemplary attention to detail
  • Knowledge of Banff Centre and the Banff Centre Mountain Film and Book Festival is a definite asset
Special Requirements
  • Due to the nature of the job, this position requires the candidate to be available to work a flexible, irregular schedule and weekends.
Employment Terms & Benefits
  • In accordance with CUPE 4318, this is a unionized, unconventional support staff position, subject to a 500-hour probationary period.
  • This position pays $ 6700 for the term
  • This position is part time in September and October, increasing to full-time from October 25 - November 10.
