Telephone Receptionist – Job Description

Location: Los Angeles, CA
Type: Temporary Position

Position Summary

The Telephone Receptionist serves as the primary point of contact for incoming calls to the facility. This role ensures efficient communication between patients, physicians, insurance companies, and internal staff. The Receptionist schedules appointments, manages phone inquiries, assists with administrative tasks, and supports front-desk operations as needed.
This is a non-clinical role — no medical advice is provided.

 

Key Responsibilities

Communication & Customer Service

  • Professionally answer and route all incoming calls.
  • Forward calls to voicemail when necessary.
  • Return patient/office messages received by the call center.
  • Communicate clearly and courteously with patients, visitors, and healthcare staff.
  • Ensure representatives (pharma/equipment) do not disrupt patient flow or confidentiality.

Appointment & Documentation Support

  • Schedule, cancel, and reschedule patient appointments (including outside services).
  • Prepare letters and fill out standardized forms for clinical staff.
  • Transfer incoming faxes to patient charts or print as needed.
  • Assist with insurance pre-certifications for procedures/surgeries.
  • Support admitting and check-out receptionists when required.

Compliance, Safety & Performance

  • Follow all facility policies, procedures, and ethical standards.
  • Support the organization’s compliance, safety, and performance-improvement programs.
  • Report safety concerns, emergencies, and policy violations promptly.
  • Maintain accuracy, organization, and confidentiality at all times.
