Executive Support
  • Manage complex calendars and schedules across multiple time zones
  • Monitor, prioritize, and manage the executive's inbox, ensuring timely follow-ups
  • Prepare meeting agendas, pre-read materials, and executive documentation
  • Attend meetings, record action items, and monitor deliverables through completion
  • Coordinate with internal teams, external partners, and stakeholders
  • Assist in preparing board papers, presentations, reports, and executive communications
  • Manage confidential documents, contracts, NDAs, and version-controlled files
  • Draft, proofread, and format professional correspondence
Project & Operations Support
  • Coordinate project timelines, milestones, and vendor communications
  • Assist with supplier, contractor, and service provider coordination
  • Support property-related administrative activities, scheduling, and operational tasks
  • Manage calendars and logistics related to operational projects
Financial Administration
  • Provide transactional data entry support in QuickBooks
  • Assist with light financial administration and record management
  • Maintain organized financial and operational documentation

Skill Set
• Minimum of 5 years' experience supporting C-level executives as an Executive Assistant • Experience supporting executives in finance, energy, professional services, or similar industries is highly preferred • Strong project management and coordination skills with the ability to manage multiple priorities independently • Excellent written and verbal English communication skills • Exceptional organizational skills with strong attention to detail • High level of professionalism, discretion, and confidentiality • Proactive, resourceful, and able to anticipate executive needs • Comfortable coordinating across multiple time zones • Experience preparing executive presentations, reports, and board-level documentation • Familiarity with Microsoft Office and Google Workspace • Comfortable working West Africa Time (WAT) business hours • Willing to sign a Non-Disclosure Agreement (NDA) • Must be a Filipino citizen currently residing in the Philippines
