We are looking for a detail-oriented File Clerk to support administrative and document-handling operations for a busy office in Tacoma, Washington. This Long-term Contract position will focus on maintaining accurate records, preparing and processing important documents, and helping the team stay organized during a period of reduced administrative coverage. The ideal candidate is comfortable balancing data entry, scanning, filing, and document preparation while maintaining a capable and detail-oriented presence in an office that includes legal staff and client interactions.
Responsibilities:
• Enter and update information in internal systems such as Salesforce with strong attention to accuracy and completeness.
• Organize physical and digital records by filing, scanning, indexing, and retrieving documents as needed.
• Prepare land trust and deed-related paperwork, including drafting documents for review and processing.
• Review records and documentation to identify discrepancies, confirm completeness, and support audit-related checks.
• Research county filing requirements and public records to help ensure documents are handled correctly and in compliance with local rules.
• Coordinate outgoing and incoming correspondence, including packaging and shipping documents connected to deeds and trust files.
• Maintain orderly client and document records in platforms such as Box and other office systems.
• Work closely with administrative staff and department team members to keep daily operations moving efficiently and respond to changing priorities.• Prior experience in file management, clerical support, records administration, or data entry roles.
• Ability to handle high-volume document processing, including paper filing, file box organization, scanning, and e-filing.
• Strong accuracy and attention to detail when entering data and reviewing legal or administrative documents.
• Strong communication skills and the ability to interact appropriately in an office environment with clients and legal staff.
• Familiarity with Google Workspace; experience with Salesforce, Adobe, Box, or RingCentral is preferred.
• Comfortable working a Monday through Friday schedule in an on-site office setting.
• Ability to manage multiple administrative tasks, stay organized, and meet daily productivity expectations.
• Experience supporting document-heavy workflows involving deeds, trusts, or compliance-related records is a plus.
