JH Kelly is seeking a positive, detail-oriented, and organized Fabrication Shop Administrative Assistant to support our Pipe Fabrication Shop operations. This role plays a key part in ensuring seamless coordination between office functions and shop production activities. Pay Range: $25-$30 per hour (DOE), FLSA non-exempt (overtime eligible).

 Here's a deeper dive into your responsibilities:

 

Administrative & Shop Coordination
  • Create and update Stratus Work Packages as directed by the Superintendent/Manager to accurately track the shop progress of work through the shop and delivery to the field.
  • Assist with scheduling, tracking ROS dates, and updating project statuses in support of the Superintendent.
  • Process Fabrication Ticket requests and guarantee complete information is handed off to the Fab Team for non-modeled items.
Document Control & Recordkeeping
  • Manage internal flow of documents for all NDE testing.
  • Maintain welder certifications and documentation.
  • Maintain digital and physical filing system for MTR's, Packing Slips, etc.
  • Maintains document control through various company platforms.
Operations Support
  • Monitor fab shop email for new work releases, ROS date changes, and critical information pertaining to fabrication.
  • Requisition fabrication materials for projects as needed and maintain follow-up of material control logs by project and backorders.
  • Coordinate shipping/receiving with fab shop shipping department, job sites, project managers, trucking companies, and suppliers.
Team & Administrative Support
  • Support Shop Superintendent by setting up project files, job setup data, and other duties as required.
  • Act as liaison and assist with business arrangements while keeping leadership informed of urgent developments.
  • Disseminate office correspondence including phone messages, files, and payroll checks.
  • Assist with maintaining office organization, supplies, and inventory.
Additional Duties
  • Assist and provide administrative support to ensure timely and accurate task completion.
  • Perform additional tasks and projects as assigned
What You Bring
  • Experience: 1-3 years of administrative support experience; construction industry experience preferred. Experience working with office coordination and operations teams. Prior experience with Stratus software preferred.
  • Technical Skills:Proficiency in MS Office (Excel, Word, Outlook). 
  • Education: High school diploma or equivalent required. Associate or Bachelor's degree a plus
  • Required Skills: 
    • Comfortable in a fast-paced environment with multiple tasks and projects at hand.
    • Able to organize and manage large amounts of files, tasks, schedules, and information.
    • Self-directed and able to work with limited supervision.
    • Energetic and eager to prioritize workload and tackle new projects and ideas.
    • The ability to input data with a high degree of accuracy and attention to detail.
    • Strong collaboration skills with customers, operations managers, field, and office personnel.

 

Physical Requirements:

This office-based role involves sitting at a computer for extended periods, with occasional standing, walking, bending, and lifting up to 20 pounds. Strong manual dexterity, hand-eye coordination, and clear communication skills are required. Reasonable accommodations are available.
